How long have you been with Camp Doc and school 01:18: doc maybe, you know, we're talking specifically, you know, 01:22: you how, how long have you been a new or 01:26: a user in the platform? So, Patrick looks like we've got a 01:30: lot of new friends joining us here and a little more than half. 01:34: This is your first year. So welcome, I see a 01:38: quarter of you six plus years, man. 01:40: High five to you for your tenure Patrick. 01:44: They they almost have me beat out. 01:46: Do they have you beat out where you how many years have you been here now? Yeah, 01:50: I'm gonna be six in March, so, I know, right? Six plus size. 01:54: So, yeah, we got a couple, a couple of them here so, well, 01:58: awesome. We always like to remind everyone of here 03:15: because we use verbiage here that you know I'm sure you and your organization, 03:19: you guys have things that you all say just you know out of out 03:23: of habit. Well, we do too and some of those things will 03:27: get to our housekeeping. I went out of order here. Sorry Gabby I'll Circle back 03:31: on that one so our definitions. 03:34: So doc network is the parent company of Camp Dock 03:38: and school doc. So if you hear us saying any of those three just know that those 03:42: are interchangeable provider, those 03:46: are all of you, those are staff folks using the back 03:50: end of the system, you're you're accessing the forms that financial 03:54: data, all that Camper participant some of you say, students, 03:59: whatever the case may be, those are the individuals attending your 04:03: Things, those who are filling out the forms. 04:06: And then finally you will hear us say app a lot. 04:09: And so app is just the camp Docker School doc platform. 04:12: Do not confuse it, we do not have an app, you know that you're getting for 04:17: your phone. This is the, you know, the the platform that we're 04:21: all working in today, thanks for Circle and back there. 04:24: Gabby and so housekeeping, everybody's got a little bit of different 04:29: ways we play and all these webinars, we like to encourage all 04:33: the questions, all the questions you have, you're going to have them, throw them in the question and answer 04:37: box down there. We're gonna look at the learning objectives. What we hope to get out of this for you today, and 05:07: then Patrick's going to lead us through the participant account and adding line items. 05:12: He's going to show us general ledger codes. Can those help our organizations out? What 05:16: are they? How do we use them? And then a ledger intro, we've got a few heavy 05:20: duty ledgers in the system. We'll give an overview there. 05:24: And then we'll dive into the participant Ledger, and the organization Ledger. 05:28: And then we're going to talk about one of our brand new features convenience fees, and 05:32: then we've got some resources for you at the end. 05:35: So finally, I think today's learning goals or objectives 05:39: by the end of today's webinar, You 05:43: should be able to read a participants account Tab and make necessary adjustments. 05:48: You should be able to differentiate between the participant Ledger and the organization 05:52: Ledger. You're going to know how to export and read Financial 05:56: Ledger reports explain the functionality and applicability. 06:01: Applicability 06:03: Click applicability. Let's go with App. 06:06: I had it right the first time and then I overthought it. 06:08: Applicability of general ledger codes on landing on it. 06:11: Determine how convenience fees can be implemented based on their organizations 06:16: needs. All right, so there you go. 06:18: That's a lot there at once Patrick. 06:23: I think I think we're good to go. How are you feeling you ready? I'm 06:27: feeling good. I think the crowd is fired up and ready to go. 06:30: You got a good place there, they're rumbling everybody. 06:33: Everybody said forget the Super Bowl this week we just can't wait to 06:37: the finance webinar for Camp doc. So the day is finally here, you got it? Well, 06:41: yeah, go ahead and take over the screen here. 06:47: So you want to give me a thumbs up, you can see my screen. 06:49: Things are looking good. I give you a verbal, thumbs up. 06:53: And a physical one. Gotcha, wonderful. 06:55: Well, we'll start by looking here at a participants 07:00: account tab. So we have our friend here. 07:03: Jonathan otherwise known as Johnny Bravo who we're going to be picking on a little bit today. 07:07: You can see in the account tab that they have a balance of 300 07:11: dollars, right? So there's 275 owed for their Mariner 07:16: registration. That's the name of one of the camps here at our fake Camp Arbor. 07:20: And then there was another 25 towards a registration fee. 07:23: Of course, leading us to 300 dollars in total, there are 07:27: ways that you can add line items to Jonathan's account at 07:32: any time. Frankly, so you can click into the account tab within Jonathan's 07:36: profile or any profile and click the add line item button. 07:39: And here is where you can do things on behalf of 07:43: the Bravos like process a payment process, a refund notay 07:48: and external payment. So, you know, maybe maybe the family calls and says, hey, 07:52: I have my my credit card ready to go. 07:54: I'm ready to make a payment. Can you help me? You certainly can take that payment 07:58: just over the phone or help them process, a payment. 08:01: So you can input 08:03: Payment method down here, input an amount. 08:05: A total will generate and you process the payment accordingly, refunds 08:10: work extremely similar. Whereas instead of, of course 08:14: processing a payment, it reimburses the family as needed. 08:17: So you can in the same manner input in amount for a refund 08:21: and then input a payment method in order to process that 08:26: refund. So in both of us instances, it's very easy to 08:30: do. Oftentimes we asked each so we always ask each participant 08:34: when they're registering, can the camp can camp that store your payment 08:38: method? Whereas it's easy to access again in the future. 08:42: If the family were to indicate yes. 08:45: Camp. That can store my payment method then you actually can click here and 08:49: write there will be, you know, Visa one, two, three, four, or Mastercard, 5678, whatever 08:53: their payment method was, you'll easily be able to access it and process 08:57: a payment. So it's very convenient and cool way to do it. 09:00: External payment is exactly what it sounds. 09:03: So if they show up with cash in hand or they've written a check, you can input 09:07: the check number or whatever. But ultimately, you can indicate that 09:11: they've made some form of payment towards their $300 owed and lower 09:15: the balance accordingly. You can also process donations if that's a 09:19: feature that's enabled in your account and then use camped act for 09:23: miscellaneous line items. We'll go into a little more detail about miscellaneous line, items first, 09:27: custom adjustments, in just a moment, but a 09:31: miscellaneous line item is essentially anything unrelated to one 09:35: of the sessions that would cause someone's balance to go up or go 09:39: down. However, if there is something related to a session, whereas 09:43: a session price or total do changes, then you'd want to record 09:48: that as a custom adjustment is what we call those. 09:51: So if I go into Johnny's registrations, I can see that session 09:55: that Session One Mariner. By click on it. 09:58: Let's suppose that there's of course 300 dollars owed 10:03: And they're receiving either some form of scholarship or there, a 10:07: returning participant that gets a discount accordingly or whatever. 10:11: The reason may be, if the price owed for this particular 10:15: session should be different than what everyone else says whether it's higher 10:19: or lower for the family, you can edit their registration. 10:22: This is incidentally where you can help them at a t-shirt or any input, 10:26: a coupon to their balance. But we're talking about custom adjustments today. 10:29: This is where you can raise or lower. 10:32: Somebody's balanced. You can have preset, drop downs, 10:36: you know. Maybe have a lot of scholarships or you apply a boat rental 10:40: fee to a number of participants whatever the reasoning may be. 10:43: But let's go ahead. We like Johnny Lott. 10:46: We'll give them the best camper award and that is worth 25 10:50: dollars off of Camp. So I can input that as a negative amount. 10:53: Create the line item. There it is. 10:55: That's going to lower the balance by 25 dollars. 10:58: Gives me a chance to review the adjustment and confirm it and now 11:02: we have 11:03: Lowered the balance. So this makes sense from a financial reporting standpoint. 11:07: We've often taught in the past that miscellaneous line items is one way to accomplish 11:11: this when you are doing your, you know, basic accounting 11:15: or at the end of the year, trying to figure out how much money came in for Mariner. 11:19: If I go into the registration for Mariner and lower it for Johnny 11:23: and do that for all the different families that otherwise needed discount, 11:27: your numbers are going to make a lot more sense at the end of the year as far as how much was collected 11:32: on behalf of the Mariner session. So let's get. 11:35: Can I know you hear? Just because I think we just pointed out was, is a really useful 11:40: highlight for us all here is for those who have 11:44: been around for a few years. So just to clarify, Patrick, what you're saying is in 11:48: times in the past, we've often recommended To utilize the miscellaneous 11:53: line item here in the account tab. 11:56: But with a lot of updates to the 12:01: reporting Financial 12:03: Shorting that sort of thing. Now the best way. 12:06: Is is elsewhere is what you're saying correct? Yeah. 12:09: So the custom adjustment just gives more details. 12:11: You can even see here visually that that best camper award 12:16: worth 25 dollars. That we offered that is attached to the Mariner 12:20: tuition, right? You can see it as kind of like a subset of it. 12:22: So at if at the end of the year you're trying to get 12:26: your numbers right. And determine how much money came in for Mariner or what 12:31: discounts were offered for the Mariner session. 12:33: If you'd been using the Miss Linnaeus line items, these essentially don't 12:38: tie it will raise our lower somebody's balanced, but it doesn't tie that back 12:42: to a session and ultimately which then leaves it a bit Troublesome to 12:46: get your accounting. Correct? Right to to 12:51: balance your books at the end of the season. Whereas here this line item, the 12:55: 25 dollars off is associated with the Mariner session. 12:57: Therefore, when you run your numbers later, it will have the same kind of GL code 13:02: Supply to it. 13:03: Um, unless otherwise specified, which we can go into in 13:07: a bit. But yeah, this is a better practice. 13:09: I would say, for lowering the balance for individual sessions, Right 13:13: on. So Patrick, I'm looking at some questions coming in live here the at the 13:17: same time. So again, so that being said, we just show one more time where they, 13:21: where you entered that adjustment there. 13:23: So you went so you switched off the account Tab and went over to the 13:27: registrations for Johnny, right? That's correct, right? So we are navigating 13:32: over to the list of registrations for Johnny because we want to essentially alter 13:36: the balance due for a registration rather than the balance due 13:40: as a whole for the account. So, if I go to their registration list, they 13:44: just have the one session. One Mariner, I can select that. 13:47: If I hit edit registration from there, that's where I can edit 13:51: the amount owed for that session via a custom adjustment or 13:55: a coupon frankly, maybe they're out of coupon. 13:58: But that is where we would put that awesome, awesome. 14:03: And great. I think that's helpful that covers that 14:07: cover some of the questions I see here. One 14:11: other just a quick side note. 14:13: I do see Colleen asked question about auto payment and 14:17: yes, Colleen your participants when 14:21: registering can in fact set up their own payment plan, that's 14:26: something that can be done on the, you know, for the participant 14:30: while they're going through the registration process themselves. 14:34: Yeah and that actually ties right back into the next agenda. 14:37: Item to go you can set up and deactivate payment plans 14:41: on behalf of participants from the account tab as well. 14:44: So here, we're back to Johnny's account tab in the bottom right corner. 14:48: Next to that adlines items button is that set up payment plan option. 14:52: So if I select that, if there are a payment message saved, then you just be able 14:56: to select the payment method and input the relevant details. 14:59: But otherwise you can hit add payment method and it 15:03: See into, you know, add a payment method for the user and whatnot. 15:05: But this is where you can set up or deactivate a payment plan on 15:09: behalf of any family, right? From within the account tab, we may want to stay 15:14: here for a moment because we got some good questions here and this is probably a 15:18: place in today's webinar worth worth spending a few extra minutes on Trina 15:23: asked is there a place to add items in the dropdown? So I think Patrick 15:27: was she's referring to is when you went to the registration and you were doing 15:31: sorry. 15:34: You were. Yep. Adding adding that one said are those auto-generated 15:38: based on items you use regularly so I think she's seeing all those descriptions there. 15:41: Where are those from? Is there a place to add 15:45: items or those auto-generated based on what's written in there? Great question, 15:50: you actually can input any line items that or 15:54: descriptions as we call them that you use frequently right into Camp. 15:57: So that they appear in this drop down list and it's great for consistency. 16:03: You know, if you, if you give someone a discount and call it the best camper reward and 16:07: then call it something else, even though it's for all practical purposes, the 16:11: same thing. Then when you go at the end of the year, to see how many people got that best camper 16:15: award, if you're calling it something different, every time you're going to have mixed Financial 16:20: results. So, to the question, if you go to your settings under the 16:24: registration, option is line items and here is 16:28: where you can add or remove, there's a little trash can and any 16:32: line item type that you use pretty frequently. 16:34: So this is a great way to make it a little bit quicker and easier to add 16:39: line items into someone's account and then to make things a bit consistent 16:43: or more consistent as you do, it frequently nice. 16:47: And as I put in the chat, both with that and a lot of these features we're going to be showing 16:51: today. This is assuming that you as a provider have the proper roles and permission to 16:55: access those features. If that's, if you're running up against the wall going, I don't see that on 16:59: mine, then you'll want to talk to your primary provider your organization. 17:03: To get that access. Credit call. 17:07: Cool. Well, I will keep moving a couple more things on the participant 17:11: accounts. So we're going to switch over to our friend Monty here. 17:15: I'm gonna quickly showcase that because Monty 17:19: has actually made a payment in their account. We're going to use our friend Monta 17:23: Adkins here. So back on January 28th of 2020, but he's been 17:27: around a while they made a 30 dollar payment, right? So one thing I wanted 17:32: to show off was attributing line items, so they owe money 17:36: for all these different things, right? They're coming on a field trip. 17:38: They have 75 dollars for their attending a Forester session that they owe 250. 17:43: They have an older Forester session that they still owe 25 dollars on what 17:47: is this 30 dollars for any time? You can click on that 30 17:51: dollar payment and a tribute the payment towards these 17:55: certain things, right? So maybe that was actually meant for the t-shirt 17:59: and the camp photo I could switch the ten dollars. 18:03: Or you know we've got 30 dollars to work with. 18:05: It was a thirty dollar payment maybe all of it goes towards a T-shirt and 18:09: Kent photo but the way it's set up right now, ten dollars went to the field trip, 10 18:13: dollars into their New Forest recession and 10 dollars to the old. 18:16: And that will make a big difference when we pull a report for GL 18:20: codes, which is coming up, very shortly in a couple minutes here, but 18:25: it's very easy to attribute transactions for certain things, if 18:29: you don't as an example, this payment would just show us 30 dollars towards 18:33: the total. If you want to get granular, you want to show. 18:36: Hey, this is how much money came in for this session. 18:38: We really do like splitting the line items if you will. 18:42: Whereas instead of all 30 dollars going to, you know, session a payment, 18:46: you can indicate, you know, 10 hours here, 10 dollars there at cetera. 18:50: And then, one last thing, because we get a lot of questions about this one, address it quickly. 18:54: You can, if you're quick enough void transactions in, 18:58: someone's account tab but this it, you probably can't see 19:02: it when I have, 19:03: Of hover over the void button, it says only unprocessed charges or 19:07: our voidable, so if someone makes a payment and and they quickly say hey 19:11: that was an accident or can you avoid that one? I have a different card. 19:13: I want to use something like that if it's within a certain short amount 19:17: of time, you can go in and avoid payments. But mostly for this page want to show out a 19:22: true show. Attributing line items because we're going to dive into that a bit deeper next. 19:27: So it sounds great and just follow up on Patrick's. 19:30: I think, Patrick, I don't remember the exact amount of time, but when he said 19:34: you have a very short amount of time to avoid those payments, he is, you know, we're not 19:38: talking short like, a couple of days. 19:40: It's, it's a typically, a matter of hours. 19:43: So it's, it's often not the best route, but it is available 19:47: in certain windows. So, Is that a fair fair way to 19:51: sum that up there Patrick? Yeah, I would say that's fair. 19:54: Awesome. Well, let's take a look at this poll and see how well 19:58: you were paying attention. There is a correct answer here. 20:02: So, 20:03: Family registered their child for three-day Camp sessions and then later 20:07: received a scholarship. So how do you want to reflect that in the count? Do you want to 20:11: use miscellaneous line, items? Do you want to use custom adjustment or 20:15: do you want to go in and add a new registration? You've got options. 20:18: You've got options, seeing some seeing answers. 20:22: Come in. I don't want to give it away too quick. 20:25: I suppose technically, you know, if if a 20:29: family no never mind, I changed the questions, so my 20:33: technicality wouldn't even work. Patrick 16 or 94% 20:38: of our audience believes the answer is custom adjustment. 20:42: How would you? How would you grade them? I would agree slightly tricky 20:46: with the question. It says the family registered their child so you don't 20:50: have to add a new registration, right? There are a registered she can eliminate that one. 20:54: And then, of course, that's what we talked about the customer's. 20:57: When we are lowering the balance for that three-day camp. 21:01: We want to make sure that that 21:03: Account is associated with that three-day Camp. 21:05: So the custom adjustment makes the most sense. 21:07: Awesome. Find somebody near you high-five them. 21:11: Say, Well done. Well done. Even if you got it wrong. 21:14: Hey, that's okay. You know what? You still deserve a high five. 21:16: You gave it a good shot. So I'm, you know, I want to affirm 21:21: you all right. Great. Well let's, let's keep us moving, Patrick. 21:25: We are actually, we couldn't be any more right on time. 21:28: So so, well done. We're gonna move on to general ledger codes in 21:33: his Patrick gets himself set up. If you've been with us for some amount 21:37: of time, general ledger coaches is something. 21:40: We've, we've had available in the system for a long time. 21:43: However, in this last year, we've really beefed up the 21:47: availability and what we have for general ledger codes how you 21:51: can utilize them. For some of you you may be wondering, is this something we need for 21:56: others of you? You may be thinking good. 21:59: I want to dive in, you know, what does it look like Patrick? 22:03: Going to walk us through all of that here. Yep. 22:06: So I have this lovely infographic that our training team, shout 22:10: out to Gabby created that kind of gives a broad overview of 22:14: GL codes. What are they, how what do they do, Etc? So, you know, does 22:18: your organization, run multiple programs or have a number of groups or locations 22:22: right? Or need to allocate payments to different programs. 22:25: So if you have kind of a lot going on at Camp, multiple sessions multiple locations 22:30: and it's like hey we want to track the funds that come in for session. 22:34: Ah separately for the from the funds that come in from set for session 22:38: b, c d, Etc. How do we do that? GL codes 22:42: are going to be your friend. So how did you all codes? Work. 22:45: Jail codes are codes, associated with sessions add-ons, coupons, missed 22:50: line items and donations our system automatically applies default GL codes 22:54: to your line items, but you also have the option to edit the GL code or enter 22:58: unique ones, which we will get into right next. 23:02: And once, 23:03: They're set up in your account, you can pull Financial reports which we will also detail shortly. 23:07: So let me go ahead and dive right into it. 23:09: So here is actually a new page for this season. 23:13: I'd say, since what November, it's only been a number of months that we 23:17: have the finances set up available in Camp, doc, this 23:22: is where you can do some cool things, like add your bank accounts, 23:26: such that camper payments gets allocated to, that bank account. 23:29: You can enable and disable payouts among other things. 23:33: But to the point there is a place to update your 23:37: GL code in total. So if you look here, there's really no 23:41: secret. We basically apply a geocode to every line 23:46: item automatically in Camp back and unless you were 23:50: to input your own jail codes. They default in such a way, whereas, 23:54: like all of the payments towards a session tuition those 23:59: show. As you know, default tuition, same with coupons, right? 24:03: If I have a number of coupons that I, we take 24:07: advantage of a sibling, discount returning, camper whatever it may be. 24:10: When you run a report for 24:14: any coupons that have been leveraged over the season, they'll all 24:19: have the same GL code unless you change it. 24:21: Which here on this page, if every session, if every coupon, if 24:26: every add-on should have the same GL code, then you 24:30: can update those on this page and click save and that way 24:34: every single Add-on session, Etc, 24:38: will have the GL codes that you input. 24:41: That being said, you can get granular, right? Maybe session. 24:44: One has a different code than session two, because we want to make sure the funds are 24:48: separated and counted separately from each other. 24:52: So what you can do in your registration setup is, let's 24:56: pick on Pioneer, I'll go into session two here. 25:00: In the top right corner, you can see that it is. 25:03: Set up to use the default GL code, what you can do. 25:06: So, as a result, you can see, like, any line item that 25:10: comes in for this session will be labeled with the default tuition GL 25:15: code. What you can do is uncheck that box and input a jail code of your own. 25:19: So, maybe session two is You 25:23: know, we'll just, we'll abbreviate session to sn2. 25:26: That is the GL code here and maybe I'll go into session 25:30: one and do the same thing. 25:32: Looks like there's already one for session one. One, two, three, four, five. 25:35: So that's great, but it's easy to set up jail codes on 25:40: an individualized basis. So on a session by session basis or as 25:44: a whole and that's where they finance is set up comes into 25:48: play. So let's go ahead and pull a 25:52: report. What does this look like, right, I'm struggling to visualize this. 25:55: How do I identify what money came in for what add-ons 26:00: GL sessions that? 26:03: Era. You can run that report in the participant Ledger, I'm going to be quick 26:07: here because we are going to dive into the ledgers in more detail shortly. 26:10: But what you can do is filter The Ledger. 26:15: Let's let's do this. 26:17: Let's filter for any payment that's come in over the last decade and 26:21: includes split line items. 26:23: Now this is an important piece that I want to call out. 26:26: If you think about Monty's payment from this page, 26:30: right, they had made a $30 payment in total and 26:34: we call this a split line item. Whereas it's like, hey, the thirty 26:38: dollars wasn't just kind of broadly attributed to the balance owed 26:42: by Monty this was segmented into specific things, 26:46: right? Ten dollars towards the field. Trip 10 dollars towards one that should 10 26:50: dollars search another. So we call that a split line item. 26:53: Right? Where it might be 130.00 transaction, it was split into three 10 26:57: dollar payments if that makes sense. 27:00: So, when I run the report, 27:03: From this stage so you can go ahead and filter include split line items and hit 27:07: search here. They are. You can already see Montez on here a few times. 27:10: Because instead of one thirty dollar payment, we've got it broken up into multiple ten 27:15: dollars and this is what that looks like when you export it. 27:17: So you can always export to a CSV when you're dealing with finances 27:21: and ledgers. Usually the spreadsheet is a better approach than a 27:26: PDF, which is available. But assuming most of us here are familiar 27:30: with spreadsheets. You can go ahead and Export that and you'll get something that 27:34: looks a lot like this, or exactly like this. 27:37: Frankly, so here you can see Monty, right? He's on here a few times. 27:41: Here's the different ten dollar payments, so you can see those all came 27:45: in and now column F, unless you 27:49: were to indicate on the previous page that the is a split 27:53: line item. Then you don't really get it segmented and showcasing GL 27:58: codes, right? Because it would just show Monty's, $30 payment just came 28:02: in towards their 28:03: Real balance, but since we put 10 dollars towards this 10 dollars towards this Etc, 28:07: you can see That there's different GL codes, right? So session 28:11: five. I can see under the registration tab this payment was 28:16: towards Session, 5 Forrester which has its own GL code. 28:19: This 10-hour payment was toward session three for Server which has its own 28:23: GL code. This one was towards the field trip add-on 28:27: right here. So the field trip and they're just using the default for 28:32: the add-ons. There's no special GL code there, which you can input for 28:36: your add-ons, you know, supposed funds to the field. 28:40: Trip are separate from the funds for a t-shirt. 28:42: You can put different GL codes on those different add-ons, but here you can see instead 28:47: of 130.00 payment, you can see 10 dollars towards each of the things we attributed 28:52: it to and that's when we run our numbers at the end of the year, it's 28:56: easier to see based on the GL codes, right, you can filter based on GL codes, 29:00: how much came in for this session? 29:03: Much came in for this session at cetera, Etc because you'd have the totals 29:07: that came in as well as their Associated gel code, right from within 29:11: that report. Patrick while you're while you've got 29:15: that spreadsheet. Open have a question from Trina 29:19: about GL codes and question of, 29:23: can you add individual GL codes for different types of 29:27: add-ons or for the convenience fee? So I think we two 29:33: different questions in one Very good questions. 29:36: So I'll tackle the add ons. 29:39: First, if we are in our registration set up, and 29:43: let's go ahead and pick on Session One this time and 29:47: we go to our add-ons, there's a few different add-ons here, there's a water bottle, 29:51: there's an orientation dinner, there's a registration fee, I'll click on the water bottle. 29:55: I can give that negl code that I'd like I can also have 30:00: it default to the usual default add-on. 30:03: Um, GL code. But supposing the water bottle money should be tracked 30:07: separate from the field trip money here. 30:09: You can put a GL code for the water bottle. 30:11: Similarly, the orientation dinner, looks like that one just uses 30:15: the default. You can uncheck that and input a GL code at any time. 30:19: So the short answer is. Yes, you can apply a different GL code 30:23: towards, you know, a T-shirt and on a water bottle and on a field 30:27: trip, whatever it may be any individual add-on, can have a different GL 30:31: code. What you want to consider admittedly is like you know when 30:35: someone purchases a t-shirt we just count that as more money towards session one, 30:40: right? So maybe you give these add-ons the same GL code that 30:44: you gave to session one which is one, two, three, four, five that way when you run 30:48: your report at the end of the year and you're consolidating to see like okay 30:52: how much money in total counting all the add-ons kind of counting, all the coupons 30:57: everything, how much came in for session one? If you give everything 31:01: the same GL code, 31:03: It from within session one, then you'd be able to filter based on that GL, code 31:07: and have accurate results, accordingly. 31:11: And then there could be these didn't forget about that. 31:13: At this time, you cannot apply a gel code towards convenience fees, 31:17: those fees are kind of plucked out, whereas those go to, 31:21: you know, credit card companies and whatnot. 31:23: So as far as tracking payments in Camp Doc it's not necessarily 31:27: a payment that apply would be you know, passed along to 31:31: your organization. So at this time there's no way to input a 31:35: specific field code for convenience fees Great 31:39: that. That answers that question, Patrick sorry to interrupt you. 31:43: I don't know if I think you were wrapping up that section but I also don't want to cut 31:50: Yeah. Yeah. I'm good. As we're going to dive a little bit more into the ledgers 31:54: up next, so I can get right into that. 31:57: Yep, as Patrick setting up for for ledgers. 32:00: Again, if you've been with us before, you know, the finances, 32:03: Set up table is knew we wanted to spend time there in the jail codes and then 32:07: getting ready on these participant ledgers and organization 32:11: Ledger. And I'm seeing a question now that I can get kind of a good setup there. 32:15: Somebody asked, Patrick, hey, do these things all 32:20: Jeff Jeffrey asked, do these sink in a way with QuickBooks. 32:24: So what do we do? Like hey we've got these reports. 32:26: Can we sing come up with QuickBooks or anything else there? It's 32:30: a good question. I wish I could say that we have 32:34: like some really fancy integration with QuickBooks but at this time you're just 32:38: gonna want to be careful with your GL code, right? So my understanding of QuickBooks is 32:43: that each session has its own ID or code of sorts that 32:47: you input into QuickBooks or at least each line item type. 32:51: And you can kind of set up, camp dock to match 32:55: as far as your data. The best answer is 32:59: to make sure your GL codes are as up to date as possible. 33:02: That 33:03: When you run your reports, it's easy to see, you know 33:07: how much funds came in for a certain session or a certain add-on or anything 33:11: of the like and then you can compare and contrast it with money that's come in Via 33:15: QuickBooks. But yeah, the short answer, unfortunately, is we do not have an integration with QuickBooks 33:19: and jail codes are going to be your friend, as far as tracking your finances, especially 33:24: across multiple systems. I'll just throw in there. 33:27: You certainly can export everything as CSV. 33:30: So if you want to import that or play play with that, you know, outside 33:34: of the platform obviously is Patrick has spreadsheet pulled up and that sort of 33:38: thing. So for the further data manipulation, they're Jeffrey. 33:42: So, Yep. All right, back up to you. 33:46: All right, so we'll dive into the financial Ledger's. 33:49: Next, I'll give a brief overview of what is what each Ledger 33:53: is, what each Ledger does and the difference is between the two. 33:57: So if we will look at the participant Ledger, first these are any transaction 34:01: between participants 34:03: And your organization, right? So thank any payments towards their sessions 34:07: and any, you know, external payments, you know, they came in with a check or 34:11: anything like that. Have they purchased add-ons, if they input any coupons, that we process 34:15: refunds to those kinds of line. 34:17: Items are very much captured from within the participant Ledger. 34:20: Again, these are transactions between your organization and all of 34:24: your participants conversely. 34:26: The organization Ledger are transactions between us, and you write 34:30: Camp Dock and your organization. So, if you think about where one 34:35: participant makes a payment, let's call it up, 100%, that 34:39: gets paid through Camp back and we have the funds. 34:42: When we pass those funds on to your organization, that would appear 34:46: in the organization letter in the form of a payout, of 34:51: course, refunds and other line item types are all included. 34:54: There we'll go into that momentarily. 34:57: But the difference being Transactions between your participants 35:01: and yourselves. And 35:03: Transactions between camp or School Doc and your organization. 35:06: So if we look at the participant Ledger, A few things 35:10: to start, we keep track of any historical 35:14: debits credits and overall balance in your account. 35:18: If you think about a debit that's more or less any amount 35:22: of money that is indicated as being owed towards your Camp, whether 35:26: that's me signing my child up for Camp, purchasing a t-shirt, you 35:31: know, signing up for that field trip, that sounded so awesome, things of that nature. 35:34: Those are going to be debits or things that you're participants otherwise. 35:38: Oh towards your Camp credits are going to be any kind of payments 35:42: or offsets to those bounces so that would include coupons 35:46: as well. So if I owe 500 dollars 35:50: towards camp and I make a 300 dollar payment, you know you'd have 500 in 35:55: debits 300 and credits and then the balance is the difference 200 in 35:59: my example. So 36:03: One thing that we get questions about is you can have 36:07: debits and credits. Kind of increase on this page that aren't reflected on the organization 36:11: Ledger. If you suppose that someone purchased a 36:15: camp t-shirt for ten dollars but then they had a coupon 36:19: for that shirt for ten dollars, right? It would show in Camp. 36:23: Rock a ten dollar debit and a 10 dollar credit, of course, no 36:27: balance, but that isn't any money that's been processed through Camp back, right? They 36:31: owed ten dollars for t-shirt. 36:34: They didn't have to pay it, they had a coupon. So there weren't there any funds that processed 36:38: through Camp dock. So, as much as this page indicates, there's 700 36:42: and 10,000, something dollars that are coming Camp. 36:45: Arbors way if you go to the organization Ledger, you can see very different 36:50: results as far as those numbers. 36:52: So we go a lot of questions about that wanted to quickly address that But 36:57: you can filter, we've kind of done this one, so I'll be a little bit quick. 37:00: The filter can get 37:03: Into more detail which actually I think as 37:07: I'm looking at our agenda. I think I'm going to round back to this and just stick 37:11: to a high level overview for now. 37:13: And I will come back in a couple minutes towards that organization 37:17: Ledger. Similarly, you have your debits and credits but 37:21: this is only going to reflect funds that flow through Camp back, right? So a coupon 37:25: isn't really any amount of money that's flowed through Camp. 37:29: Doc same with an add-on until they make a payment for that add-on. 37:33: So largely this is going to show any payments and refunds and 37:38: what you can do here is filter in the same kind of way. 37:41: So we'll get into more detail as far as the filtering very shortly 37:45: here but I wanted to go into detail 37:50: on the debits and credits and that this is historical. 37:53: It's kind of the last piece that I have for the moment this Stacks 37:58: year over year. So these numbers do not reset at the end of your summer or anything 38:02: like that. 38:03: Many of our organizations are year round. 38:05: So there's not really a point in which you know, there's downtime and their account we can 38:09: just kind of reset things. This will grow and grow over time because 38:13: the debits and credits and balance here are tracking funds 38:17: across the entire history of your Camp hack account rather 38:22: than just over some smaller increment of time. 38:24: So I wanted to make sure to address that I 38:29: think we're on to activity number three Phil, yeah you're great great call 38:33: out there and the only other thing only other question that I 38:37: see hasn't been addressed and this is good for everyone to know. 38:40: Hey, Patrick, when a user pays a camp fee 38:44: by credit card through Camp. 38:47: Doc, what will the what will be the merchant description on their credit card statement? That 38:52: will say Doc Network Inc. Yeah, absolutely. 38:55: I actually can give you a visual whenever somebody 39:00: registers for 39:03: Program. It gets you the visual here, we're going to come 39:07: back to this page, but charges will appear on your bank statement from Doc 39:11: Network Inc. So anytime someone inputs their credit card or their bank account, they 39:15: may very much get a bolded statement to that 39:19: Patrick. And I both happen to sit, not too far from our support team. 39:23: And from this time of year, on through the summer, one 39:27: of the calls that we hear most often is people going, what is the 39:31: stock Network that showed up on my on my credit card statement? So 39:35: yeah, definitely you can help your families out if you want to pass on to them. 39:39: That that is their Camp doc or School dock charge 39:45: coming through. So, Hey let's again test your knowledge 39:49: here of how much you're paying attention. Where would you find the money that we can't 39:54: dock or School? Doc is paying out to your organization, are 39:58: going to find it? In the participant Ledger, you're going to find it in the organization. 40:03: Participant account. I see there's a lot of peer pressure happening. 40:06: The this poll is increasing one side. 40:09: It's either. They're all right, or they all followed the first 40:13: few people. But you're all right. 40:16: It is in fact the organization Ledger. 40:18: There you go. Oh no, I might have tricked somebody into jumping jump 40:22: and ships. So yes it is the organization ledger. 40:26: So again, participant Ledger is the money going back and forth from your participants 40:30: to you. And then the organization Ledger that's 40:34: money from Camp, doc or School doc. 40:38: To your organization. So, there you go. 40:43: And actually you know what here's here's a popular question. 40:45: I know where I want to be aware of time Patrick. 40:48: So off to do a snug answer of this but Christy 40:52: wants to know if we if we want to figure out how much a specific program made during our financial 40:56: year, would we do it through reports or participant Ledger filters? 41:02: So great. 41:03: Session. I would, I would go ahead and run a report from the participant 41:07: ledger. So if you wanted to see, you know, any 41:11: amount of funds that have been paid towards Session One in a given year, we 41:16: can actually, I can give a visual on that if that works for you, Phil, I 41:21: think so just Have to be mindful in the next section here. 41:25: Yeah, I'll make sure. 41:27: So you'll want to include split line items if you've added 41:31: GL codes to that session one, you can indicate, you know, and 41:36: I want to see any any line items 41:40: from that registration, right? So let's call it your agriculture 41:44: Camp so you can indicate like any payments that came in, right? 41:48: So what we can do is filter for any payments that came in for session, 41:53: one or agriculture, camp and split line items and hit search and you'll 41:57: be able to find the results that you're looking for. 41:59: I would very much export that to us. 42:01: Yes, fee when I'm done. 42:03: Uh, but yeah, I guess that takes us right into the participant 42:07: ledger. So, here I'll go into some more detail about the filtering. 42:12: You can filter by name, right? So if I wanted to as 42:16: an example, find anyone that got that best camper award. 42:20: Let's do that. So here, if I just keyword search best, right, 42:24: I can easily find anyone who has gotten the best camper award through one 42:29: means or another. It's easy to filter by date as well. 42:32: So if I want to see transactions between X and Y date, you can 42:36: very much filter for that. And then filter by type, I'd say, this is the 42:40: most common thing, it's like, hey, I want to see all the payments that have been coming in. 42:44: So let's go ahead and track payments. 42:47: How about sense? We'll keep it an 42:51: old date. You can do any payments that have come in over the course of x 42:56: amount of time here. And these boxes, you can indicate I 43:01: just want to see payments from 43:03: People registered to X or Y session, right? So they may not be payments 43:07: towards that session, but payments associated with the people that 43:11: were registered to that session, you can indicate a session here and 43:16: similarly you can filter the participant Ledger 43:20: for line items specific towards a session. 43:23: So like if the, if a profile is registered 43:27: to a certain program you know the vegetable garden. 43:30: You can filter for that and hit search and go from there to see 43:34: every transaction. From those participants registered 43:38: to that session, you can include deactivated registrations 43:42: which is by default. But otherwise let's go ahead and run a 43:46: report for any payments that have come in. 43:48: So if I hit search, And we can see all those 43:52: payments. We ran this one earlier and we got the split line items for Monte and everything. 43:56: But I do want to, I did want to show off how you can 44:00: filter for every single type of line. 44:03: Items. So, if I wanted to include add-ons and coupons and anything of the like, 44:07: if I hit search that will update my search function accordingly, 44:11: and then, once I export to CSV, that will all be included in 44:15: the report. Continuing in the participant Ledger, you can view balances 44:19: and get a high level overview. 44:21: So, if I click this balances tab at the top, I can quickly filter for 44:25: anyone who's paid in full and anyone who has an outstanding balance or 44:29: anyone who needs a refund. Fortunately, this list is smaller than the 44:33: last, but all that to say, it's easy to filter and you can even 44:37: get granular to indicate. I want to see anyone with an outstanding balance 44:41: for a certain session. You can select that session and go from there much. 44:46: Like every page just about in Camp, you can export to a 44:50: CSV or print the details of this page as well, which is very 44:54: helpful. Switching over to the organization 44:58: Ledger. So, 45:03: It works very. Similarly, I do want to show quickly that 45:07: you can filter in the same way. 45:09: So whether that's my keyword or you want to see transactions between X and 45:13: Y date, or you want to filter for certain line item 45:17: types? Like any payments that have been received. 45:19: You can select that here and then the from registration, 45:23: right? So this would be any payments from people registered to anything 45:27: at Camp Arbor. If you wanted to get more granular and indicate, I just 45:31: wanted to see people payments from associated 45:36: with arts and crafts. You can do that. But yeah, if I go ahead and hit search, 45:40: there's only gonna be a few payments. Here, I'll go ahead and download that as an CSC 45:44: so we can see what that looks like. And it'll be a good segue into convenience 45:49: fees, which we'll get into next. So I'll go ahead and add this 45:53: to my Google sheet here that we're working off of. 45:57: And our reports carry and a lot of different information that 46:01: can be valuable. So, 46:03: So we of course, have the first and last name date 46:07: of birth and sex of the participants. 46:09: So basic demographic information a quick description. 46:12: Right, what are these? Okay Visa 4203. 46:15: Looks like there was one voided payment. So these are since we filtered for 46:19: payments, you know you'd be able to see refunds and whatnot if we had included those as 46:23: well, but we just filtered for payments. 46:25: So this gives a description of what was this. These are payments, what were the amounts, right? 46:29: This was Monty's. Thirty dollars this Tanya's $20.75, 46:33: here it is then easy to see processing 46:38: fees, right? So we're very transparent in Camp and school doc 46:42: about any processing fees that have been paid from each 46:46: transaction. So if we look at Monte's thirty dollars, you 46:51: know, roughly a dollar fifty was paid in the form of processing fees to 46:55: our lovely friends over at visa for the luxury. 46:59: So what you can see is the 47:03: I think fee, and it's easy, of course, to create formulas to see how much in 47:07: a given season that you had in processing fees, 47:11: right? So if you back on this page, were to have a lot more payments. 47:15: You can, of course, be specific about between dates X 47:19: and Y. If you were to filter for all payments and Export, you know, you get a sheet 47:23: much like this and you can then sum all of the processing fees. 47:27: So our ledger works very similarly to the participant Ledger. 47:31: What you'll note is this is Monty's, 208 dollars and 51 47:36: cents, right? It's not 30 dollars, of course, it's 2851. 47:40: And we know that because while it was a 3 0. 47:43: 0 0, 48:03: Ahead and do that quickly. It should show the 48:07: full 30 dollars so the processing fees are not reflected. 48:10: Here they are reflected if you were to export this to a CSV similar and 48:15: to the way we did with the org Ledger but all you'll see are you 48:19: know 30 dollars credited towards Monte's account whereas in the organization 48:23: Ledger you know it's the 2849 or whatever it is less 48:27: the processing fees on this page. 48:30: So I wanted to point that out and then yeah, we're 48:34: on to convenience fees from here. 48:36: So this is an exciting and brand new feature that we offer 48:40: and this is behind the scenes for the scenes frankly. 48:44: But if you work with your, let me jump in, you 48:48: are doing great job of segwaying but there's also a question that comes 48:52: up off of what you just read through because I showed us that 48:57: spreadsheet and you showed you pointed out, the convenience fees and Colleen's 49:01: asking. So 49:03: Processing fee. Is that the same as the convenience fee, that the user pays. 49:07: And so that kind of good segue 49:11: between our verbiage that were that were trying to clarify on and that 49:15: sort of thing. So, and it may even be better for you if you want to build to 49:19: how you answer that question. But wanted to throw that in shower. 49:24: Yeah, that's a good question. A lot of it is like very specific 49:28: language and terminology but my understanding of 49:32: like the legal terminology set a processing fee. 49:35: It's like a fee as a result of payments, you know, through Visa Mastercard. 49:39: Whatever it could convenience fee is like, passing a portion of that fee along 49:44: to your participants. So I guess the end user 49:48: if you will the the payee kind of changes as a 49:53: result there it's it's very much worth a quick Google search. 49:57: If you were to look convenience fees versus surcharges versus 50:01: processing fees, there's 50:03: An entire Litany of literature, that you'll find pretty quickly about, 50:07: you know, how to classify these things. 50:09: And how to understand the differences between all of them. 50:12: But these are convenience fees. 50:15: So I'll try and explain it in the context of our feature as best. 50:18: I can, there these are standard processing fees in Camp 50:23: dock, right? The vast vast majority of this goes to visa 50:27: and MasterCard and American Express and discover with Camp back taking the 50:31: tiniest little fractions so that we can make sure our lights stay on the 50:35: convenience fees which is brand new offers. 50:38: You the ability to pass the full or a portion of 50:42: these costs onto your participants, should 50:46: that be something you like to do? So this is what we would do if you you 50:50: know connect with your client success team and work with us, we're happy to 50:54: enable this feature. One of the first things we want to determine is what is 50:58: the appropriate amount that you want to pass on? So if this is the full 51:03: Fee, right? Do we want to pass the full fee along? Is there a portion, right? 51:07: Maybe we only do. Sorry 1.75% or 51:11: something like that. So maybe we want to share the costs of these transactions 51:15: with the participants so you can do a portion, the full thing, Etc. 51:19: One thing that you'll want to note is that processing 51:24: fees are calculated based on the amount. 51:27: Someone is paying. So there's actually a scenario where you would 51:31: if you wanted to pass the full amount of the processing fees along to 51:35: your participants, you would actually add a little bit of a buffer here and I'll 51:39: show you what I'm talking about. So there is this lovely convenience 51:43: fee calculators, again a shout out to Gabby for putting this together, suppose 51:48: that there is a 500 dollar payment or something of 51:53: that sort. This is just 51:57: a sample. So I'll just talk through. If you were to see, you 52:01: know, someone owes 52:03: And 75 dollars and they go to pay with their credit card at our 3.95% 52:07: credit card fee. You know they'd have a 15 dollar 11 Cent 52:12: convenience fee which brings the total to 390 11. 52:14: So that while we pass along 15 52:19: dollars and 11 cents, the final fee is calculated 52:23: based on the total of the transaction. 52:25: So there is a difference there, your organization would still take on, you 52:29: know, rather it's much better rather than 15 hours and 11 cents. 52:33: You'd still have 60 cents for every 300 and 75 dollars paid 52:37: by a credit card. So, that's where you can plug different rates and to 52:41: determine how can we get that as close to 0 as possible? That's where you might 52:45: go above the three point, nine five, or above the one and a half to make sure that 52:49: you are passing the full amount of that fee onto your participants. 52:53: That's something we can do. So, you very much will want to just work with your 52:57: team over at Camp dock in school. Doc to bring that to 53:02: fruition. Should you like 53:03: Um, but yeah, I you know, we used to say it's free 53:07: to enable registration in Camp Doc and that's that's 53:11: true. It is free to use that feature. 53:13: The one asterisk on that is that there are these processing fees. 53:17: Now, I can say with a smile that it can literally be 100% 53:21: free for your organization. Should you choose to pass those fees on to your participants? 53:25: So a lot of our clients are already jumping on this and projecting 53:30: to save quite a bit in funds for the upcoming season, by passing on a 53:34: portion of that fee. So, if you're at all interested in Saving on those fees, 53:38: this coming season, please work with your team at Camp fact. 53:41: But to quickly show at this, looks like for participants. 53:45: I went ahead and I have Jane Doe here, registering for 53:49: session, three pioneer, It's a 300 dollar session 53:53: with a 25 dollar registration fee. Same session, our friend, Johnny Bravo was 53:57: joining. So total of 325, the convenience fee 54:01: is giving to them. 54:03: Up front. So we, of course, want to be fully transparent with that. 54:06: The one thing it says 0. Now, Patrick, why is it say zero? It 54:10: doesn't know whether someone's paying yet with a credit card or with a 54:15: bank account. So if I were to select credit card and input my credit card 54:19: for Camp Arbor here, this fee would update accordingly and 54:23: they're, you know, their payment would change versus if I were 54:28: to select a bank account and input my information, the convenience 54:32: fee associated with that transaction changes. 54:35: So if we were to look at this one, last time, there are different rates 54:39: for the banks bank account, you know, HCA transactions, and credit card transactions. 54:43: So, because Camp dot doesn't know which one I'm paying with yet. 54:47: It shows a 0 but this very much updates as soon as someone inputs a 54:51: payment method and tells them right then and there here's the total plus a convenience 54:55: fee and allows them to pay right there. 54:58: So that brings us just about to the end. 55:02: Phil 55:03: I think we're ready for Activity 4. Patrick what's one big thing that you're hoping people take away with them today? 57:12: I think JL codes for one of our, some of our larger organizations. 57:16: They're very serious about it and they go out of their way to make sure those are updated 57:20: in Camp. Do they can run Financial reports with a lot of financial data and 57:24: organize it more easily, I do see our smaller and medium sized camps kind 57:28: of pant on it or skip that thinking we only run a few sessions 57:32: or were more simpler. 57:34: I do still think there's a lot of value that you can, you 57:39: can capture by in utilizing GL codes. 57:43: It's just gonna make your life much easier as far as determining how much money 57:47: came in for Session One, how much came in for session two? Should we sell a 57:51: t-shirt next year? How much came in in the form of t-shirt sales, right? Like it 57:55: can help you kind of forecast out and make better decisions moving forward. 57:59: Should we do a field trip was the rock climbing wall worth it. 58:03: Money Talks, right? And the GL codes, help paint a picture of what the money's 58:07: saying that's for sure. There's your quote of the day friends money talks in the GL codes, 58:11: help paint a picture. That's good, that's good. 58:13: And and you all are giving us some great feedback too in the chat. 58:16: Love this Colleen.
