Something's awesome. 02:06: Also thrilled that you're here. Hopefully you find this an 02:10: engaging time. You have a little bit of fun to learn a lot along the way and yeah, 02:14: it'll be good for us all. So we do always like to start all 02:18: of our webinars with a reminder, like Look, let's 02:22: be honest, webinars and trainings and, and that sort of thing software, 02:26: sometimes, you know, like, very few of you signed up for your job because you were hoping 02:30: to just use computer software. Some of you very few of you, 02:35: signed up to lead a a summer camp and decided 02:39: like I hope I just get to you know, have to deal with paperwork all 02:43: that time. Our job is to help you your job. 02:47: Our job is to help make your daily day in day, out more 02:51: efficient streamlined and, and ultimately that leads to participants 02:55: safety. So we get it. It's kind of that part of your job that maybe this wasn't 02:59: why you signed up for what you do, but again, our takeaway 03:04: is, we want your campers, your students, your individuals who show up on 03:08: your property to be as safe and have as great of a time as 03:12: possible. So just a good reminder for us. 03:15: All to remember the why behind what we do? We 03:20: also like to give some definitions because Gabby and I and 03:24: all of us here tend to use our own language for certain things. 03:27: And sometimes we forget that, maybe everybody isn't speaking the same language. 03:31: So just a little quick glossary for us, 03:35: all you're going to hear a say providers and that is all of you. 03:39: That is anyone who has access to the back end of the camp, Docker 03:43: School doc platform. So, anyone who has that provider 03:47: access, you'll hear us say that, plenty. Additionally, we're going to say, camper, 03:51: participant or student, and just so, you know, those are all interchangeable. 03:55: So, some of you are here on the camp dock platform. 03:59: So some of you are here on the school, doc platform again, interchangeable. 04:03: So if we say Camp, do you can swap in school? Doc and vice 04:07: versa. Doc network is the parent company of Camp. 04:09: Ducks School. Document here that is well, so and then we'll say 04:13: app a lot app is just our 04:17: verbiage for the platform. For the software that we use. 04:21: It's not, it's not a phone app for you so, so don't get confused. 04:25: Don't go looking in the store, your app store going. 04:28: I don't see it anywhere. It's it's not there. 04:31: So that's why you don't see it. All right. 04:33: And so we're going to say that a lot. 04:35: I'm seeing these places come in that people are going to be visiting Gabby and yeah, 04:41: I'm having. Yeah, coaster Rica. 04:43: Yeah, that's amazing. 04:45: We were supposed to be on a cruise last week and we have two daughters 04:49: getting married in the course of two years so suddenly that changed plans. 04:53: So yeah, no Crews. 04:56: So now I'm just gonna stare longingly at all these warm places coming in. 05:00: Anyway, additionally, we're going to be talking about 05:05: or here's today's agenda. 05:07: Here are the items we're going to cover for you. 05:09: As we go, we're gonna go through learning objectives here in just a 05:13: moment. We're going to work through tags, one of our favorite features 05:18: for everybody. I think there's definitely some significant ways you can use that 05:22: that will help streamline things. We're gonna go through profile reviews. 05:25: We're going to talk about sticky notes, digital sticky notes, just 05:30: called notes but we just kind of keep adding our own verbiage to things. 05:33: We're gonna talk about notes, we're going to talk about the send message and the notification 05:37: feature. In the app, we're going to talk about power tools and then 05:41: we're going to give you some takeaways some resources. 05:44: We're gonna let you know about some amazing training deals that we have going 05:48: on. And these are learning goals. 05:55: These are our, you know, hey, if you walk away, we did our job. 05:59: Well, by the end of today's webinar, you 06:04: should be able to organize and group participants through using tags. 06:07: You should be able to proactively review participant information. 06:11: Before sessions begin, you can use notes 06:15: as an internal communication device and documentation tool for you 06:19: and your team. Oh, you're gonna learn how to send messages through the 06:23: system and utilize notifications to ensure that there's 06:27: effective communication between your participants and your organization. 06:31: And then finally use power tools to modify profiles in bulk. 06:35: So Gabby that sounds like a lot all at once, doesn't it? It 06:39: is a bit. Yes, yes. 06:42: But all very useful, all very useful. 06:44: And this is one of my favorite. As you say that Gabby, you're looking back and forth and 09:16: it makes it look like you have like screens ahead of you from Just, 09:24: All right, here we go. Cool. 09:26: Okay. We're gonna start off with one of our favorites, and definitely Phil's 09:30: favorite. And we see that a lot for sure tags. 09:33: Tags, tags tags. So, what the heck are tags? Well, 09:37: let me tell you, tags are a tool to group an organized, your participants, 09:41: so it helps you and your team to quickly organize your 09:46: students or your campers into various groups or buckets. 09:50: So, go to way to start this conversation of tags 09:54: is to think about how do you break up your Campers or your students into 09:58: groups at your programs. Do you use? Do you have different cabins 10:02: for like residential camps or day camps? Do you have different 10:06: dorms? Do you have a field trip? First swimming, 10:10: for example, do you have different swim levels? So 10:14: it's always really interesting to see how many different ways, programs 10:19: group their participants. 10:21: So a really good way to do that again, is To Think Through the different ways that you 10:25: break up your campers and then you can use tags for that next whole life, a 10:30: lot easier. Just to show you how to do 10:34: that in the app. One helpful ways to think about it is two 10:39: steps. So first, you create your tags or 10:43: if you have them created and you want to go and edit them, you do that. 10:45: And then step two is to actually go and assign them or 10:50: apply them to the respective individuals. 10:53: Um, so first, let's do step one, and let's demo some 10:58: examples here. So if you can see my Camp Maple screen. 11:02: This is our demo Camp. No live participant data is being used 11:06: as all dummy data, and if we go to settings 11:10: here, And then to the tags 11:14: tab. We arrived to tags. 11:18: Now, a note thing that I forgot to mention before, not all 11:22: of you might have permissions for tags. 11:24: So if you don't see this here, It's 11:29: probably a permissions thing. So you want to talk to your primary provider your 11:33: director to to get that access. 11:36: So, no worries, just in case you don't see that here. 11:39: All right, here, we have tags and you'll see there's, there's a 11:43: few columns here, we have, the label, which is the overarching, you know, the 11:47: tag name or label and the different options for the tags. 11:51: And then the edit button here and the status whether you want to reactivate 11:55: a deactivate, Etc. Here are some really good examples 11:59: of ones that have been created. And again, this is a demo account. 12:02: So you see many different tags that have 12:07: been created over the years for various demos, but we're going to add a new one today, just 12:11: for fun. So, scroll down to the bottom, click on the, add new 12:15: tag. And we are going to make. 12:19: Let's see, let's do something easy. Let's do swim level. 12:22: That's always important. I want to click on Save 12:26: tag and don't worry, you can go back in there and add the different options. 12:30: So, you want to click on the little edit button here. 12:35: And let's do. The different levels will be separated by a comma. 12:38: So we'll do beginner. 12:42: Intermediate. Advanced, I'm not sure if there's a 12:46: standard swim level guideline out 12:50: there, but we're just gonna use these for now, I think Michael Phelps is the highest level 12:54: so it's dinner standard and 12:58: stuff as well and got it. 13:01: Yeah, that makes a lot of sense. Let's just do that for 13:05: fun. All right, here we go. So then click the add option 13:09: and today, you see the different options here. 13:15: Perfect, let's do this wrong. Let me see, I wonder if 13:21: Sorry, I was looking away. Oh, I 13:25: see here we go, forgive me, I definitely did that wrong. 13:28: Yes, want to edit that really quick? It's 13:33: not therapy to comma. Forgive me. It is you add each option, 13:37: individually. But you know Gabby good reminder. 13:41: As you're as you're updating that though, that's a great job on 13:45: showing people how quick it is to fix and edit your, you know, if you want to 13:49: change something so nicely done, there we go. 13:51: And I check myself too. So I'm glad that that showed up immediately and you see, oh 13:56: wait, that's funky. That's not right. So you can make it, we're all human. 13:59: We make mistakes, here we go. 14:02: At Option, okay? So just note that you add them in individually and you can always go 14:06: back and remove them at a new one, edit it, whatever you need to do. 14:10: Cool. So now we check it. 14:13: It looks like we want it to look we're good. 14:15: Let's click the save tie again just so we know it is saved 14:19: and all set and awesome. And that is step one, we've created our 14:23: tag label, we created our tag options 14:27: and we're good to go. Step two is to actually go in a 14:32: sign them. So this is a critical part too, otherwise they're there for no reason. 14:36: Right? So there's a few different ways we can do this. 14:39: If you want to do it individually, you can do that. 14:42: Just by selecting individual profiles and assigning them such 14:47: as Let's do an example here. 14:51: So let's do Robbie. 14:54: We haven't played around in Robbie very much and you see once you 14:58: click on their profile, Again, if you have those permissions, you'll 15:02: see the tags tab there in the various tags and 15:07: values listed for the participant. 15:10: So you'll see a lot of these are empty because Robbie 15:14: Lisa Adams hasn't been assigned any of these tags, some of them she does have tags 15:19: for but for swim level, the one that we just created, there's 15:23: no tag assigned. So we're going to we're going to change that, we'll click 15:27: on edit tags. We'll scroll to the bottom where our swim level is and 15:31: you'll see a drop-down menu because we have a few different options to select from. 15:35: And, you know, Robbie is a rock star. 15:38: She wouldn't say she's Phelps level but she's pretty Advanced pretty 15:42: competitive. Yeah, so we're going to do Advanced here and 15:47: then click save. 15:50: So then you'll see that the advanced the option that we chose is there 15:54: for her which is great. 15:58: Now, another way to do this is in bulk, which is a huge 16:02: Time Saver. And for this the first step very 16:06: similar to, for example, creating a report or sending a message for 16:10: in bulk, you'll want to use the list Builder. 16:13: So again, the list Builder is one of our most powerful tools. 16:17: It's a way to filter for, or select, or create a 16:22: subset of profiles for which you want to complete an action. 16:24: In this case, it's for assigning tags, but 16:29: it can be for generating a report. For a particular group of people, it 16:33: could be for sending a message, to a particular group of people, whatever it might be. 16:37: We have a lots of resources on this Builder, too. 16:40: If you want a little more information or a Refresh on that as well. 16:43: But for this example, let's add a 16:47: condition here, so that we're not assigning tags to 1336 16:52: profiles. Let's do. 16:57: Wonder if. Oh, and that's another thing too. 17:01: I was going to mention see when I start typing in swim level here that's one of our 17:05: tags. You can actually filter Four Tags in the list Builder 17:09: too, which is another bonus of this tool. 17:11: It's super cool. So say you want to pull a report or just want to see 17:15: all the profiles in your camps, all the participants in your camps 17:20: that are a beginner swim level. 17:22: For example, you're able to do that, you can pull that and you'll see that 17:26: list come up. So again really great tool. 17:31: Let's see, let's do Oops. 17:35: Select let's just pick a group here. There's 17:42: any okay. Well, still a lot 557 profiles. 17:46: Okay. Joke. And let's say that we 17:50: want to select just a few of these because I don't want to do for that many folks. 17:54: Let's just elect us a random group right now but 17:58: of course, this will be more intentional. If you do it at your programs and 18:02: then we'll head over to power tools, which will go into 18:06: a little bit later as well. And you'll see again, depending on your permissions, an 18:11: update tags button here, so we'll click on that. 18:15: And, So we have our six profile selected here. 18:19: The ones that I checked off and let's say, we know you 18:23: know based on a question that we had in our profile forms 18:27: for these folks that all of these six are 18:32: beginner swim level so you don't have to go in and do it one by 18:36: one. You can select those click beginner here. 18:40: Update. And then this will pop up just to confirm that you do indeed, 18:44: One update that tag to beginner for those six profiles that you selected 18:50: And then yes, that is true or cancel if you made a mistake. 18:53: Click, okay. And then you 18:57: should be set and just to check, not sure if I have to refresh, or 19:01: if it will go immediately, let's just check here. 19:04: Yes. All right perfect. So Mario which is one of the six participants we 19:09: see now that his swim level was beginner so it 19:13: did work. If by chance you made a mistake you're like oh wait Mario's actually 19:17: intermediate, you can just go in and change that as well. 19:20: So go to edit tags here for Mario. 19:25: Do intermediate and click save and then that will change that for 19:29: you. So easy peasy. All right, let me pause here. 19:33: Are there any questions relating to tags about how to create 19:37: or edit them or assign them here? I should go over. 19:41: Yeah. Um, so let me see here, to be honest, I'm not going 19:45: to admit to not looking at the question answer box while you were here. 19:48: But I was monitoring chat. So yes, of course. 19:50: Leslie is asking a great question. 19:53: Is there a way for a tag to expire on a certain date? Leslie, 19:58: that's a great question. No, unfortunately there there's 20:02: not that being said, we do have some organizations. 20:06: For example, I think of a group in New York City, who 20:10: one of the tags that they used was a transportation tag. 20:13: And so each year, they would tag particular students with 20:17: this is the bus route that they're going to be on. 20:20: This is the bus route that they're going to be on and so on. At the end of that season, 20:24: then our team would work with them. And we could choose to either archive 20:28: all of those tags. And so, you just start with new ones. 20:31: We could choose to relabel those tags. 20:34: So then we would just say, bus route 2024 or put 20:38: a year on it and that sort of thing. So there's a few ways where we can, where 20:43: we can look at those historically but they don't, there's no way to automatically 20:47: have those have those drop offs. 20:49: So, yeah, by the way, I am seeing somebody. 20:53: Also asked about a recording, we do record all of our webinars and 20:57: you'll get that typically 24 to 40 hours after after 21:01: the webinar. So just FYI for you there, so, Jen 21:06: asked a really good question, too. And I, I'm actually just checking to see if this would work. 21:10: Yeah. Is there a way to remove tags in bulk completely? 21:14: So, for example, for Cabins, this can change your year to year 21:18: so kind of like a reset button. 21:21: Yeah. Is this something that we can do within the power 21:25: tools? That is a good question to be honest, I was that's my one 21:29: before. Yeah. So you know what hey let's all do this together. 21:33: Gabby, where you're at right now we know we just went in and we applied the 21:38: tagged. You still have those? Yeah, you've got the handful are 21:42: those the same participants that you marked in your beginner group. 21:46: They are not but you know what I can do. 21:49: That's right. And filter for it. 21:51: Okay. And by the way, as Gabby's filtering this, I we have no 21:55: problem saying sometimes. Um, good question. 21:58: I don't know, you know, we again, honestly, there 22:02: are times while. While this is happening, we're messaging other teammates going. 22:05: Hey, what about this? There's always unique, use cases and it's good 22:09: for you to play and test out and that sort of thing. 22:12: Don't hesitate to ask the question because we can, we can figure that out. 22:15: So Gabby, you want to explain what you just did there so we can. 22:18: Yes, absolutely. So, because Phil asked, wait, do you have 22:22: the same participants I did not, but there was an easy way to go 22:26: back and look at those six or five that I selected because I changed Mario's 22:30: go back to the list Builder. 22:34: You can search for the tag swim level with the tag that we created 22:38: and did bulk updates too. And then beginner 22:42: is the one that we assigned to those those five individuals. 22:47: And then those five pop up. So now to test our Theory and 22:53: what Gabby's gonna show, what we're gonna do this, we're gonna dive into this tool a 22:57: little later as well, but just give you a glimpse of us. 22:59: Trying to answer your question here. And go to update tags 23:03: there. And let's just do the same. 23:08: Thing here, they all took lessons throughout the year, they 23:12: all bumped up to intermediate. 23:15: Can update that. All 23:21: right, so I don't see why this wouldn't be an option. 23:24: I do want to check with one of our clients success. 23:27: Managers, this would be a really good question to add in our follow-up email. 23:31: So I'm going to write that down in case. 23:33: There's another best practice but I'm yeah, knowing this, you can use this. 23:37: Sorry, I spoke over there. Yeah, you're fine. 23:39: Um, just as an FYI to Jen I read your question. 23:43: You may have been asking, can we clear those tags out? I don't know for sure that you can 23:47: necessarily clear them out, right? But to what, Gabby just showed you 23:51: could relabel the tag as in like again, make it something historical 23:56: and then assign those same participants to that historical tag. 23:59: So, there are some work arounds. And again, our team is happy to work with you on 24:05: that, so great. Well let's let's keep 24:09: moving here. 24:11: I'm just in the interest of time and we've got a quick, 24:15: a quick Poll for you all and I'm gonna share 24:19: my screen and hit that QR code if you will. 24:23: And by the way Gabby I don't know if you had a chance to read it in the chat, Jen gave a 24:27: raving review about about tags and thank you for that Jen. 24:30: Because honestly it is a reason why I there is a reason why I 24:34: think it's the greatest feature as Jen mentioned. 24:36: It was a game changer. I think you said for your cabins, if you all would scan this 24:41: QR code, hit that up and then go ahead and what would be some use cases. 24:45: Maybe you're already using tags or what are some tags that you think would be beneficial 24:49: for you? And your group think about groups within groups is a 24:53: phrase that we use, right? So so your group is weak one of Junior 24:57: High campers, the group within the group is the oak 25:01: cabin of that week, one, Junior, High campers, right? So, it's that 25:06: kind of group within group thinking, yeah, and cabins is right 25:10: there again. And I worked with a I was at a conference one time, 25:14: and it was sitting down with one of our aquarium groups that does day camps 25:18: and they did a pickup thing and, and suddenly was like, are you guys using 25:22: tags? Because it was a nightmare for them to sort who's coming to where she's like, what's 25:26: tags? And we showed her 10 minutes, right? And she's like, oh my gosh, I wish 25:30: I would have seen this at the beginning of of the summer, it would have saved me four hours a 25:34: week, based on how she had to sort the data. 25:37: So I agree with Jen, I've heard others agree with Jen and 25:41: yeah, half day, full day, campers, great, use case for sure. 25:45: Grades is a great one residential and commuter dietary 25:49: needs. Yeah, there's some really good ones in here for sure. 25:53: And this is this is why we love to show this. 25:56: This is why is Gabby mentioned it is my favorite because nobody 26:01: I used to work on our sales team here. 26:03: Nobody ever came saying. I need a way to group people but like it's one of those hidden 26:07: features where suddenly once you use it you go. 26:09: Oh man this is making life easier. So awesome. 26:12: Take a look at those and also, thank you for adding yours. 26:15: I would just want to encourage you, take a look at that list. 26:18: Maybe there's a few of those that you go. 26:20: Oh yes. We need to use it for that as well. 26:22: Steal somebody's idea my friends. 26:25: So Awesome. Great. 26:28: Well we're going to keep moving. 26:31: We're going to move to one of my other favorite portions 26:36: of of the app and again often underutilized and 26:41: Is our reviews, okay? So tags were 26:45: putting groups, within groups reviews. 26:47: Get used for all sorts of things. 26:50: And, you know, again, same sort of thing, as far as use cases are use 26:54: cases vary from organization to organization, think 26:59: about anything, and everything that before participant sets foot on your property 27:03: and that you're trying to look over and you want to make sure you're the 27:07: proper team. Member had a chance to review it. 27:09: That's what reviews is for, hence, the clever title, right? So 27:13: think about things like your registrar, maybe they work with scholarships 27:18: and that sort of thing. I think about things like your 27:23: health staff and all the reviews that you need them to do. 27:25: Whether that's a health history review or allergy review, 27:29: or you want to make sure that your health staff had a chance to see everyone's 27:34: EpiPen status or whatever the case may, be our medical 27:38: camps, has some very unique reviews that are unique to them but men they're their 27:42: life savers TimeWise. So so here's what we're going to do. 27:46: I'm going to show you the individual version as to what it looks like. 27:50: I always like to to show John Adams just because I feel like that's a you 27:54: know, it's I'm because he feels presidential that's that's what 27:58: I feel about John. So if you go to any profile, if you're following along 28:02: in your platform, if you go to any profile and click within 28:07: that profile, you'll see it at the bottom and this can hide on us sometimes these reviews 28:11: and notes. Now, we're gonna get to notes Here in in a few moments, but 28:15: we can see these reviews and notes and again, in our demo Camp. 28:19: We've made quite a few. I think the default ones I want to say are 28:23: like General and health maybe. 28:26: So those are the default ones. 28:28: But you can create edit any and all of your own versions. 28:32: So I'm going to work a little bit backwards from the way Gabby showed you. 28:36: In this case, I'm going to show you how to do a review within 28:40: the app or first and then we'll show you where you make those and, 28:44: and what you do there. So, so here we come down. 28:47: And in this case, we have Of allergies, emergency 28:51: contacts financial aid, health, history immunizations medications. 28:55: All right, so we've got quite a few that have been built into Camp Maple. 28:58: And so, you know, the default is. 29:01: Everything shows up at know, right? And so I'm gonna you know, work through John's Health 29:27: profile and maybe I'm missing something. 29:30: I need to reach out to the family and say you're going to need to send that or resend that whatever 29:34: the case may be. And then, once they say, okay, it's all set and I'm comfortable. 29:38: I've got the information I need. I just simply mark it as yes. 29:42: Okay, and so now again, now anyone who gets into 29:46: look at John's profile can see. 29:48: Oh, Phil reviewed this. And here's when he did it, great. 29:53: So simple enough, when you're in the individual profile as to how to Mark something 29:57: as reviewed, we're going to hit those arrows, make that disappear. 30:01: Now similar to what Gabby showed you as far as what you can do in the 30:05: list Builder, you can come in and add a condition and we're going to say 30:09: reviews review, status, And I can say, 30:14: is, And we were just looking at health history right? So 30:18: I can go to health history know yes or pending. 30:21: So if I said say no out of these 1336 profiles 30:25: anybody who hasn't been checked yet we can say okay we 30:29: need to get to 1141 profiles or if I 30:33: need to say, hey, who's being whose profiles are being worked on? I can 30:37: pull that list up and I can see that these profiles are currently being 30:42: reviewed. All right? So you can see the way that this is going to benefit you 30:46: to be able to quickly sort the data as to who is where in 30:50: the process and, and that sort of thing. 30:52: Now, let me show you real quick, how to create those again, 30:56: all these things were showing you. You're going to go to settings, General, 31:00: click on that. And just like Gabby said, everything is permissions 31:04: based and roll based. So if anybody is running into a wall right now and 31:08: you're going like, I can't move ahead. Talk to your primary provider 31:12: at your organization and they can set you up. 31:15: Up accordingly. Accordingly. 31:17: If need be. So you're going to go settings General and then that profiles 31:22: tab And then reviews, okay? So settings, General 31:26: profiles reviews. Now you can see here. 31:29: Again, we have a lot in our demo account that we've used before, but 31:33: maybe at your organization, you've been using reviews and a couple of years ago, 31:37: you probably had a covid review, right? Maybe you had Advanced covid questions 31:41: but now it's 2025 and thankfully, we don't need that as much so I can simply, 31:45: you know, delete this if I want. 31:47: And that's just going to drop it down into here where I don't need to 31:52: currently use that review. Now, likewise I 31:56: can take a look here, I can edit any existing reviews if I need to. 31:59: So if I want to change the type, or 32:03: if I want to add a description to it, I can do that. 32:07: I'm going to add the review type and let's just say, you 32:11: know, Gabby went through tags for swimming. 32:13: I'm going to say I'm I run the life. 32:16: I run the Waterfront. And so so I need to review 32:20: all those swimming tests for example, right? So 32:24: review type label, I'm I just say swim swim tests. 32:28: Um, and then you see this question of sticky. 32:32: The only thing that would be worse is if that question was just said, moist, Because 32:37: sticky is A weird word but it makes sense, though, 32:41: when it comes, when it comes to this, we're not calling. 32:44: It's a good visual. It is a good visual. 32:47: I was gonna say we're not calling them moist reviews, but that's weird. 32:51: It's just getting weird or I need to stop. And yeah. 32:54: So if you mark something sticky here, here's what a sticky review is a 32:59: sticky review will stay reviewed at the at the place you moved it. 33:02: If you moved it to pending your yes it'll stay there. 33:04: No matter if they're any changes to the profile, either from you 33:08: as the organization or that participant. 33:11: And so think of things like financial aid, for example, like most likely 33:15: if you've applied financial aid to somebody if they come in and change an 33:19: allergy status this not going to impact your your review of their financial 33:23: aid for example but If you have reviewed their health history, you might 33:27: not want to mark that one as a sticky because maybe you know, a 33:31: month before Camp, there's a broken leg or some some health issue. 33:35: So you want that to revert back to know. 33:37: So that's why when something would be sticky or non-sticky 33:41: or growth or less gross. So, All right, so 33:45: that's that's reviews in a nutshell. 33:48: I know we're running a bit behind Gabby. 33:51: So you tell me where to go from here? Yes, absolutely medications 35:18: allergies, yes, those are critical, right? You want to make 35:22: sure that you're reviewing those. Anything medical Physicians 35:26: report, authorization to administer medication, awesome, yet, and 35:31: I don't know if you called it out already. I love that photo release when I see a couple people now emphasize 35:35: that so that's, that's a great idea. 35:37: I mean, that's become more of a liability for a lot of us to make sure we've got 35:41: that form filled out properly. 35:43: So just making sure that you've got that as huge definitely have. 35:46: Not heard that one before. So I'll keep going here. 36:51: We're gonna talk about notes and we're gonna talk, I 36:55: often reference these similar to if we're in 36:59: that all paper World, which may give some of you like a big cold shiver because 37:03: you've tried to move on from the all paper World in every way possible Go 37:08: with me for a second, maybe you've got a file folder, manila folder for every participant 37:12: and all their forms and everything. Well notes, what we're about to show you? This 37:17: is the equivalent of that Post-It note on the inside that yellow Post-It note, that it 37:21: may not necessarily be a huge piece of news, maybe it is, but it's something you want your team to 37:25: see. It doesn't again, it's not shared with the families and we find those 37:29: down in that same review knows notes section down at the 37:33: bottom of a profile, you simply click on the other tab outside 37:38: of reviews and you'll find these notes. 37:40: Now, John Adams, unfortunately over time has had a rough history with 37:45: penguins as it seems. So now, the cool 37:49: thing is these save historically, right? So you could come 37:53: in and I could look back over the years and I could see, you know, okay, 37:57: during, you know, attendance notes were left in here but maybe I want 38:01: to see, you know, John's young and last year he was, he struggled with homesickness 38:05: what notes were there or Again maybe there was fighting. 38:09: Maybe it wasn't with a penguin but maybe another camper and Okay, 38:13: what how did we handle it? What kind of conversation was had about? If 38:17: he's going to come back next year? This is that place for those notes. 38:21: You can come in here and add a new note. 38:24: We have some default categories built in but just like the other areas 38:28: of the app you can customize these as you want. 38:31: So like Financial in general 38:35: and illness behavioral, those are some of the default ones in the system 38:39: and so you know we can just put in here you know in 38:43: this case we'll say his phone call Mom checked to make 38:47: sure there was no penguin 38:52: fighting you know, so we can that can help us. 38:55: All feel better that parents are aware of John's anti penguin behavior 38:59: and you know, or checking you can categorize these as 39:03: you saw. Additionally, in addition to the category you can make it 39:07: low normal or high, right? So you know the phone call probably 39:11: could just be low but hey It's worth noting in the accounts. 39:14: So Addition. 39:17: Also you can add a file into the into that. 39:21: So if there's a document that you want to put there, maybe a participant broke 39:25: a lamp and you're putting that in there and you just want to say hey here's the picture 39:29: of it or here's a here's a bill that was Associated for 39:34: whatever reason. You could add that in there. 39:37: Again, same as everything else that we're showing you today. 39:40: You're to customize these, you're going to go to settings, General. 39:45: And then you are going to go settings 39:49: General profiles and then that default one is notes. 39:53: Now there's something different here that I really want to make sure to 39:57: point out while you can restrict all of the features that 40:01: we're showing you today to certain to certain team members, the cool thing 40:05: here with with these notes is you can or yeah 40:09: with no notes. Is that you can restrict certain ones to certain 40:13: roles that you have in the system. 40:17: So you see, we added a new behavioral health log feature 40:21: in addition or a general health log in the last several months. 40:23: So that's why you're seeing some things like psychiatric, diagnosis, individual 40:28: psychiatrist, 30 minute appointment. 40:31: So in some cases that is a, you know, a strong, a 40:36: strong need there. And so maybe that's the case that we're going to utilize it. 40:40: But oftentimes, it's more emotional behavioral. 40:42: Okay. Who should have access to that? Or it's it's General. 40:45: Yep. We're just gonna give everyone access to General. 40:47: If you leave it blank it that it will just show up to to everyone, but 40:52: again, you can add those in accordingly, and you can go back in and 40:56: you can delete certain notes as well, 41:00: so or no categories as well. So, And 41:05: also like reviews also like tags, you 41:09: can sort notes as well, so you can sort by note body 41:13: priority or category. And so, if I want to take a look at any and 41:17: all notes that I have regarding emotional behavioral incidents, 41:23: I can simply filter accordingly and then work 41:28: through these participants as needed. 41:32: All right. I tried to move us a little a little quicker there to help us get 41:36: caught up. Gabby anything worth calling out? Um, 41:42: we just had a question by thank you. Just answered it. Can you filter notes or report on the notes 41:46: entered? Look at that. Such good timing. 41:49: Saying we read the future, just beat 41:54: you to it. That's all so yes. Um, and yes, again, the reviews notes, 41:59: these are all internal. So, with your team of providers that have the appropriate permissions, 42:03: not visible to parents. 42:06: Guardians families. Yep. Absolutely. 42:08: Um, you know what Gabby before I stop sharing. 42:12: I'm glad this. I just looked over my notes. 42:14: One last thing that I want to show everyone is 42:19: that? I think it's all. 42:22: Let me just make sure yeah. And, Uh 42:28: okay. All right so you can come into your reports as well. 42:32: If you build a list you can come in. And some of the standard reports that 42:36: we have our, we have a notes, a notes 42:40: report. We recommend at this point doing that Gabby. 42:44: Didn't we say running that as a CSV is your best bet at this at this point in time 42:49: just based on. Yep. 42:51: Formatting in the way it loads and that sort of thing our teams working on it behind the scenes. 42:55: But right now CSV is the way we recommend and then Additionally 42:59: you can have a review, some summary a list of profiles in the review statuses 43:04: that so you can you can run that as a CSV. 43:08: So the cool thing on these features is it pulls into different sections 43:12: within the platform for you as well. 43:16: All right, one more thing to know. Yeah, she's Phil if you already mentioned this but 43:21: great call out to Jen. You can also limit what 43:25: the provider level. Well, provider can see, what kind of Notes, 43:29: too. And you can do this in settings when you're creating, like, new note categories. 43:33: For instance, Phil's gonna show you in just a sec there. 43:35: You can also limit or provide restrictions to those notes as well. 43:39: So, for example, if you only want leadership seeing a certain type of 43:43: note, or certain category you can do that there. 43:47: Thank you, Jen, great. So, everything again, we've talked with us far 44:32: is pertaining to internal Communications so the things you 44:36: can use throughout the application to communicate with fellow providers, your 44:40: fellow team members. So now we're going to talk about how to have to 44:44: communicate with our families because communication is very important, and 44:50: it's going to happen. Things are going to happen and things you need to communicate. 44:54: All right, I'm going to share my screen here again. 44:57: Can't maple So the great thing is 45:02: that we have a built-in messaging tool. 45:05: Some of you may know this some know and what this means is 45:09: that we have a send message feature where you can actually send emails or texts. 45:14: If you have that feature enabled to your families, to your participants, 45:18: to your staff members, basically any list 45:23: that you pull from your list Builder. 45:25: So again, as you heard me mention several times and Phil as well, step 45:30: one will always be to use the list filter to filter for your list that you 45:34: want and then from there using the additional tools. 45:37: So in this case and send message, you'll pull your 45:41: list say you want to send I don't know reminders to 45:46: bring your Camp t-shirt to your staff or 45:50: to your volunteer group for certain session. 45:52: You can do that by filtering that list and then crafting that 45:56: email to be sent to those folks. 45:59: Um, so again, this tool is super helpful for communicating, 46:04: pretty much anything program updates. 46:07: Maybe there's facility issues and you need to communicate a 46:12: location, change for pickup. We've heard that several times. 46:15: Maybe there's an emergency and you really, you need to send a message quickly 46:19: to your parents in the Guardians reminders. 46:23: That's a big one as well. Maybe you have some folks who still have a completed, 46:27: their health forums and campus starting In a couple weeks and 46:32: you're freaking out. Yeah, that wouldn't happen. Everybody everybody, their 46:36: stuff done on time. Absolutely. We're all so punctual. 46:39: Yeah, that was a weird example. I can't even imagine. 46:41: Oh my gosh, you never hear that weird. 46:43: Um, yes. If you can't detect or sarcasm, we 46:47: are indeed sort of castic. That's only from having conversations with you 46:51: all, fine, folks. So we understand you. 46:53: So yes, many examples, many uses and 46:57: that's the beauty of this tool. So enough talking let me Demo this thing. 47:03: And again, very similar to the other tools that we've been showcasing 47:07: today. There's a couple of different ways that you can do this. 47:10: You can do it. Individually via a participant profile or 47:14: in bulk. So let's say, we just want to send a message, just 47:18: one message to one person to Danielle here. 47:23: Profile, and you go over to Notifications 47:28: here, you'll see the snazzy send message button here. 47:32: You'll click on that if you have a template already created, you 47:36: can select one here, such as the food allergy, reminder. 47:40: Or you can write a new message here and send that over to Danielle since 47:45: this is available. Let's use this one to see what it looks like a 47:50: food allergy reminder. And you see that once we click on it, it pre-populates 47:54: the subject line, and the message. So, this is pretty cool too. 47:57: And leads me to another point that if you find yourself sending 48:02: the same sorts of emails over and over read a 48:06: template for it, create one and you can even share it with your team of providers as 48:10: well, and you can use that. 48:12: It's so easy and I'll save you a lot of time. 48:15: There we go. My message is there and all you have to do is click 48:19: Send if you needed a customized it for any reason, maybe personalize 48:24: it a little bit, you can do that as well even if you use a template And 48:29: there. Now, if we go open, we're still on 48:33: the same tab here, and we saw that we just sent 48:37: it, if you click on it, this is the one we literally just sent now. 48:42: At 1:49 p-m our time and we just sent it. 48:46: So it's obviously not yet seen, but that's a cool thing too. 48:49: Is that once you click on the message itself, you can actually see whether 48:53: it's been it's been seen or not and if it's been a minute 48:57: since you sent it and you just want to, you know, nudge the participant or the user, you 49:01: can click resend and that will send it again for you. 49:05: So pretty cool tool there. Now, if you want to do it in bulk, 49:09: we'll just have to Use the list Builder here and 49:14: select our list and then go over send message. 49:16: So let's go and give an example here. 49:21: Let's do. Since 49:26: we? We're talking about swimming earlier. 49:32: Let's select folks, who Have indicated in 49:36: their forms that yes, they want to participate in a swim challenge during 49:41: Camp. So we have our eight profile selected. 49:44: And then from there, we'll hop into or hop on to send message tab right 49:49: there, right next to power tools. I don't believe we have a template 49:53: for this, so we're just going to craft one from scratch right now. 49:59: And this seems pretty obvious, but You can't assume. 50:05: Oops. And then you'll just write 50:10: hello families. Please remember. 50:14: To bring. A swimsuit for 50:19: the swim challenge that you signed up for. 50:25: This will be better worded but I think that was perfect. 50:28: Oh, thank you. All right. 50:31: Perfect can't staff. All right so something like that or again you can use a template. 50:35: The main point is that you selected your list of profiles 50:39: from the list Builder and now you're sending a message to all those eight at 50:43: one time. Saving you a lot of time. So you have that set, you're good. 50:47: If you need to upload a file for any reason, you can do that here as well. 50:51: You'll just click the choose file and upload and then all you have to 50:55: do click Send again, this pop-up will pop up and 51:00: confirm that indeed. You want to send this message to those eight profiles, 51:04: which is always a nice reminder. Just in case you know the accidentally 51:08: made a mistake or something like that. It's always good to know that. 51:11: Yes these are the folks I want to send to and you'll click 51:15: Up. Yes, or agree. Confirm forget. There's just said and and 51:20: then you're good and then just to check that it actually was sent. 51:24: Let's click on Jonathan here. And head to the notifications 51:28: tab. Oh, I 51:33: might have to refresh one moment. You 51:37: may have noticed while Gabby's refreshing to, you may have noticed above where 51:41: she was putting that message together. It's there were some verbiage in there. 51:44: I said messages will only be sent to profiles in the list Builder and 51:49: then it says, all messages are coming from notifications that camp doc or at school 51:53: doc with the reply to and then it gives that email address. 51:57: So if one of your participants, one of the users hits 52:01: reply, it it goes back to whatever that particular email addresses. 52:05: So, that's a question that we get a lot and addition to that notifications, you 52:09: may want to let your families know to make sure to 52:14: White list or make sure that notifications that camp Doc is not 52:18: heading to their spam folder. So, And also this is a great 52:22: reminder, just so happened. So for example, Jonathan Timothy 52:26: calvillo is one that we just sent a message to but you'll notice that it 52:31: doesn't pop up here and the notifications tab like it should. 52:34: And the reason is because there is no email here for 52:38: this profile. Obviously. 52:41: Yeah if they don't have an email there they're not going to receive anything. 52:45: That's that is a really important reminder as well to make 52:49: sure that all your participants here, have an authorized 52:53: user there, a parent or guardian or family member typically and that 52:58: their email is in there and it's correct. Otherwise it won't receive the important 53:02: Communications that are coming from your staff. 53:04: So that was a good, reminder and good example, 53:08: I suppose. But otherwise it should pop up here in the 53:12: notifications that that email was just sent. 53:15: Regardless if you did it individually or in bulk. 53:19: Let me pause one sect to make sure I didn't miss anything here. 53:26: Don't believe so. We just wanted to communicate that to families, you know, or whatever the case may be. 54:15: So there is a cost involved in the, in the text message feature. 54:20: I want to say equals about five cents per text, but you can reach out 54:24: to your client success manager for more.
