You serve youth and families in some manner, 02:38: and we are here to help you execute this mission. 02:41: So why we're here is we want to make the experience for your participants and 02:45: your family safer, 02:46: want to make your job more efficient and create a smoother and more positive 02:50: experience for the families that you work with. It applies to all of our different software programs 03:50: here, participants. 03:53: That refers to anyone who fills out the health forms. 03:56: So these are the youth that you work with, maybe your staff members, 04:00: families that you work with while the term providers refers to the 04:05: backend access, so your medical staff, 04:10: your administrative staff, things like that. Lastly, 04:14: app means just application, our platform, the DocNetwork, CampDoc, 04:18: SchoolDoc application, not necessarily a phone app. 04:22: So just know that as well. All right, 04:25: let's go over the agenda real quick and let me just share 04:30: my screen again. All right, 04:35: well, learning objectives, let's do that first. First, 04:38: we'll list and define the functionalities within an individual participant's 04:41: profile. 04:42: Use conditions in the list builder to generate reports for programmatic needs. 04:47: Use tools to communicate clearly internally, 04:50: externally with your families and organizationally review and organize 04:54: participant information and track participant attendance and check in 04:59: checkout. Today's agenda includes the following, 05:03: the intro learning objectives done and done. 05:06: We'll go into individual profiles. The list builder and reporting are tags, 05:11: reviews and notes, features, messaging and notifications, 05:15: attendance and registration rosters. And then lastly, 05:19: we'll review some of our training sources we have available and do a closing q 05:23: and a. 05:24: Gabi, before you move on from that slide, I have to know, 05:27: because I'm sure it probably, I don't know where you stand on it, 05:31: but how many of my friends throw it in the chat? So we dove in depth on that, 08:00: I want to say a month ago or so. And then next Wednesday, 08:04: myself and one of our amazing CSMs, Rochelle, 08:07: we're going to do an in-depth webinar on the health log and eMAR. So 08:12: today we wouldn't have been able to do it justice. 08:14: So if you're here looking for explicitly for those things, 08:18: I just want to give you a heads up as far as, hey, 08:21: we're going to kind of surface level on those areas, 08:24: but otherwise we're going to jump in everything else. Well, 09:20: just as a reminder or refresher, 09:22: your default landing page as a provider looks like this. 09:27: This is the list builder that we see in front of us. A couple 09:33: of caveats for you. Number one, 09:36: every provider has to have their roles and permissions set up depending on your 09:40: particular role or permissions that maybe your primary provider at your 09:44: organization has given you. 09:45: You may not see everything that we're going to show today. Additionally, 09:50: this is a demo camp, so it's all fictitious data. 09:53: And also since it's a demo camp, 09:55: we have just about every feature enabled on here. 09:58: So we are going to have features that maybe your organization doesn't use and 10:02: you might think, I don't even see that. Why is that? That's the why. 10:06: So just to prevent you from future panic, 10:10: that's kind of the disclaimer I wanted to give you. 10:15: And there was another one, but I've totally forgotten it. 10:18: I'm sure it was very important and very, very good. So, oh, feel free, 10:23: Gabi mentioned this. If you have two screens, follow along this, 10:28: you may want to click accordingly within your app. 10:31: If you don't have two screens, no worries, 10:33: we'll send you the recording and you can study up later. Alright, 10:37: so this is Camp Maple. This is 10:42: our demo camp. Now when you come into the list builder, 10:46: typically your default list up here is going to go to participants current. 10:50: So if you ever are wanting to look at providers, 10:53: you're going to want to change that list and maybe go to providers current. 10:58: Now you see my number just changed to 76 profiles. So sometimes 11:04: what happens is a provider will log in and say, wait, 11:09: where'd all my campers go? 11:10: Where'd my students go? That's why make sure you're looking at the right list up 11:15: here. So that's number one. Number two, the default, 11:19: the typical default out of the box filters. 11:24: Our registration type is participant and profile status isn't passed, 11:28: which is a fancy way of saying these are all of your current and 11:33: upcoming participants. 11:35: So if I have campers on property this week, 11:39: they're going to show up in here. 11:41: If I have campers registered for a session in December, 11:45: it's going to show up on here if campers were here on property last week, 11:50: but their session's over, they drop off of this list. 11:53: So if you ever want to see past campers or you just want to see everybody, 11:58: you're going to need to clear out your conditions here. 12:00: And now I can see all of my profiles. 12:03: So remember that that's a common question we get a lot of times as far as 12:07: where'd this camper go? Clear your conditions, clear your filters out, 12:12: and you'll find them. Alright, so let's keep moving here. 12:17: Your list builder. As a reminder, 12:19: this serves as your funnel and so there are different conditions that 12:24: probably are more appropriate for some of you than they are others, right? 12:28: A popular one is group select. 12:30: This is where we can narrow down to particular sessions here at Camp 12:35: Maple. Everything is maple--themed, right? 12:37: So let's go to one of our favorite types of maple and we will go to camp maple 12:41: syrup. And I could look here at 2024, 12:45: all my campers, so this is or for just camp maple syrup. Syrup. 12:49: And this is 419 profiles. If I wanted to look at a specific week, 12:53: now this is based on the way that Camp Maple has 13:00: their sessions in our system. 13:02: So this is what you work with your client 13:06: success team four, 13:08: but I could come and see Camp Maple syrup session one. So now I know for Camp 13:12: Maple syrup session one I'm down to 131 profiles, 13:16: I could break it down further based on additional conditions. 13:20: Maybe I wanted to do sex, I want to see, okay, 13:22: we've got 71 boys on camp. So again, 13:27: you can continue to narrow that down. 13:30: The other thing I want to show you is keep in mind this might save you a lot of 13:35: time from what you did last year. If there's a list that you work with a lot, 13:39: maybe it's a particular, 13:42: maybe you're a sports camp and you oversee the soccer program, 13:45: you don't care about the baseball, basketball, lacrosse, water polo. 13:50: I'm trying to think of other sports we might have water polo, rugby, 13:55: quidditch, whatever, pickleball, pickleball, tennis pickleball is a good one. 14:00: All you care about is soccer. 14:02: If that's the one I said you were running. So you could set up your filter that 14:06: you're going to use all the time and then just save this list. 14:09: And when I save the list, I have this option. I can name it here. 14:13: If I want to save this, share this with other providers, 14:16: I can do that by clicking that handy dandy little box and then I can find my 14:20: saved lists up here in the custom section. 14:24: So just in the past we've done this as an example, 14:27: we've said an all-allergy list, so I could just pull that up quickly. 14:30: So alright, hopefully, that makes sense for you there. 14:34: So let's just go back and we're going to go again to, 14:39: oh now see I clicked on providers current so quickly, that was a flag to me. 14:43: That's not enough. There we go. 1260, 14:47: we're going to go group select. 14:48: We're going to look again at maple syrup week one. Make sure I 14:53: get to the right year. Here we go. Great. 14:57: So I've got 131 profiles. 14:59: This serves as my filter for each tab up here. 15:04: So moving on from here. By the way, one thing I forgot to tell you, 15:08: this is especially beneficial for you newer folks, 15:11: these percentages over here tell us how far along a participant is in 15:16: completing their forms. 15:17: So I could quick glance say that Jamie is ahead at 15:21: 69%. Well done. We like Jamie Moore, 15:25: then we like Helena, she's only at 7%. 15:28: So favorite camper right away. Alright, so again, 15:33: this pulls over to our next category and we've got our reports and I'm just 15:37: going to dive into those here in a minute. 15:43: And I'm realizing Gabi, as I'm saying this, 15:45: I've kind of gone a little bit out of order, 15:47: so we'll switch this up here in just. 15:50: For our next section. I didn't have the heart to tell you, but it's okay, 15:53: we'll cover it. 15:55: Yeah, so the standard reports, 16:00: these are reports that we know a lot of you are running regularly. 16:03: Take a look through those, 16:05: dig through the different standard report types 16:10: and see what's out there because there's a lot of reports that you 16:15: probably haven't even realized they're there and it's going to save you a lot of 16:18: time. Additionally, 16:19: you can save or you can create a custom report and we're building these reports 16:23: based off of anything or all the forms that your 16:27: organization has us build for you. 16:30: So let's say that there's a waterpark trip that our camp takes 16:35: every Thursday, so I don't need all the information, 16:39: but I do want the emergency contact and maybe diet and let's just 16:44: say allergies. I'm sure there's a lot more we can do. 16:48: Now I have some options on how I want to create that report. 16:51: Do I want that as a PDF or CSV As A 16:56: PDF. It's a nice neat handout. 16:59: Print copy. CSV gives me those sortable options. 17:03: It's like an Excel document a lot I can do there. 17:07: I like to tell people here, 17:09: keep in mind the options that you want for your report. 17:13: An individual in this case is going to create a PDF or a zip 17:18: file with 131 17:22: unique PDFs. It's not often the case that we need that many PDFs. 17:27: Typically what we want is a combined or condensed report. 17:30: And the only difference here is a combined report puts all of them in one PDF, 17:34: but there's a page break between each profile. 17:36: So it's a little kinder on the eyes. However, condensed report is nice. 17:40: There's no page break. 17:41: So it's just nice to really have it all in one spot and it's less pages, 17:46: that sort of thing. So alright, additionally, 17:50: take a look at your advanced options based on what you want and the information 17:54: you're trying to pull. Maybe you want to include images, 17:57: maybe it's a check-in report and you want pictures in there. 18:00: You can include images if you want past answers, you could do that, 18:05: past profiles and so on. 18:07: So there's a lot of information that you can pull in this report. 18:13: Now, similar to our list builder, 18:15: we can save this as a template and if this is 18:20: again, in this case the water trip or waterpark trip, 18:23: we're taking that every Thursday. 18:25: I don't want to come and build this report every Wednesday. 18:29: I'm just going to save this template and I can choose how I want to save this. 18:33: Am I going to overwrite an existing report? Is this a new report? 18:36: What's the name? And is this going to be shared? 18:38: So just as a heads up, 18:42: especially for those of you returners, 18:45: oftentimes we have people come back and they're looking through these 18:50: templates, you're looking at your shared and you're going, 18:54: I don't need a 2018 diet report. I don't want that anymore. 19:00: I do like to point out, 19:01: especially if you're primary provider or someone who has access and you're 19:05: giving people control, 19:07: those shared reports can only be deleted or removed from the person who created 19:12: them. So maybe your seasonal staff who's with you last summer, 19:16: but not this summer, 19:18: maybe you don't want to give them the access to create those reports just 19:22: because 19:24: do I need to now get in and is it getting cluttery or at least communicate to 19:28: them, Hey guys, 19:30: the director is going to be the only one saving these just because we're trying 19:34: to keep this nice and clean or whatever the case may be. 19:37: So few options for you there on how you do that. 19:42: So I'm going to pause there, Gabi, 19:44: essentially I think we've kind of swapped part one and two, 19:48: so I'll circle back to part one in just a minute. 19:51: Do you want to go on with our first activity here? 19:54: Yeah, one second. So anonymous, 20:49: I would ask you what you're trying to get at here. 20:53: So your registration types, if you look here, 20:57: there's no difference in my number when I add is 21:01: participant, if I switch to provider, I'm going to have zero. 21:05: What this really is for is anybody who has a profile created 21:12: but isn't registered. So if you could see, again, 21:17: as I clear these conditions out, 21:19: what this is going to show me is it's most likely going to be a low or zero 21:23: number. I am curious what it's like when I pull out past. So yeah, 21:27: even there everybody's got some sort of. 21:31: Oh, I'm sorry. They said, I think this is a follow up. Thanks Christie. 21:36: They have 196 participants, 23 providers and 2 0 4 none. 21:40: So I have a large number of none. Okay. 21:44: Christie, 21:45: my suggestion here just in the interest of time is I would want to 21:50: follow up with your client success team on that. 21:53: I suspect in your case, 21:55: and it's going to vary depending if you're a registration group versus 22:01: like you import your profiles in. 22:05: There's a part of me that's wondering if you had 204 22:10: people imported without a registration assigned. Okay, so now, 22:18: yeah, 22:19: we'll want someone to look a little further at your account in this just because 22:23: there's a few possible answers here. 22:25: That's an interesting thing that you've come across and I'm not sure the exact 22:29: answer. Alright, 25:30: how would you go about checking whether a participant has a food allergy? Yes, 25:33: absolutely. 25:34: You could generate an allergies report using the list builder just like we 25:37: showed you. Yep. 25:39: Check the health forms in the individual profile a hundred percent. 25:42: We'll show you that here in the upcoming section. 25:46: Hover over the medkit icon next to the participant's name, 25:50: look at that, that's great. 25:53: And manifest an allergy report of sorts 25:57: because one of the features of the app is that you can just manifest things just 26:01: as that's not true. I mean, 26:04: I guess with proper clicking and that sort of thing. 26:09: Yeah. 26:10: Very cool. Yeah, I think a lot of people got this right actually, 26:13: so obviously the first three options are correct. 26:17: So there's different ways you can go about doing that, which is very cool. 26:22: Yeah, like Phil said, sadly we don't have the manifest capabilities just yet, 26:26: but maybe we could send that over to the dev team at some point. 26:29: There you go. I mean, 26:30: hey if by manifest you mean just I'm going to think through what I need to do 26:34: and press the buttons, then yes, we can certainly do it that way. So alright, 26:38: well let's keep moving here. 26:41: I'm going to grab the screen back again and I'm going to show 26:46: you now an individual profile. Alright, 26:50: so this is where we can go in and again, for a lot of you, 26:55: especially you new organizations, 26:58: this is kind of one of the things you came here for. 27:01: You are trying to have a nice neat way to organize and have everything in one 27:06: spot and this is what it looks like to see an individual profile here. 27:10: So in this case we're going to look at the profile of Ken Adams. Again, 27:15: depending on your role permissions or what your organization uses, 27:19: you may not see the exact same tabs up at the top that I see here, 27:23: but it'll give you at least a rough overview as to what you can expect. The 27:28: first thing that we see here is the registrations. 27:33: I can see anything that Ken is registered for that's upcoming. 27:37: I can see anything that's current. 27:40: Don't ask me why we have our 22 and 21 sessions listed as current, 27:44: but those just have to do with the backend. 27:46: Apparently the demo camp needs some updating there so 27:51: you can come in assuming you have the right permissions, 27:53: you can add an additional registration. I could say, oh, 27:58: you know what, 27:58: maybe Ken's mom is on staff and she talked to us, said, 28:03: you know what, 28:04: we're going to add him into session three as well and we can just say, yeah, 28:08: not a problem. 28:08: I'll take care of that for you and I can go ahead and register Ken into that 28:12: session as well. I can also deactivate registrations, 28:17: I can promote from waitlist if we have that enabled and they're on there tags 28:21: I'm going to circle back up to in a little bit, 28:24: but this is where we find that if you use us for finances and registration, 28:29: you can come in here and you can do accounting and you can add line 28:34: items, you could do, if there's external payments, 28:37: you can do that here. If you have to issue a refund, 28:40: you can do that through the system. 28:42: The other thing that's nice is you can see who the users are. 28:45: If I can see when they last were logged in, 28:50: I can see any contact information. Apparently this part's important, this notifications tab, 29:17: I think a lot of people are not fully aware of what they have 29:22: right here and we'll get to it in a little bit that the system is kicking out 29:27: automatic reminders. You know that you can send messages through the system that 29:35: say, Hey, we're going to the waterpark next Thursday, 29:39: pack your bags accordingly, right? Rightly. But do you ever wonder, 29:42: are they getting the form or the messages? 29:46: Well the notifications tab shows you who's getting what and are they seeing it 29:50: or not? 29:51: A green check tells us this message has been seen and a white dot tells us this 29:56: hasn't been opened. So I could come in here and say for example, 30:02: say for example we sent a reminder out and then the family says, 30:07: I never got it. Well you can say, well you know what? 30:10: We sent it on the 18th right at 1:29 PM almost like it 30:15: was just a few minutes ago and you actually saw it, 30:18: well you saw it at that same time. 30:20: So I used to joke about that to organizations as in 30:25: like, oh, you could just tell them, 30:26: I know you saw it and I made that joke and then several organizations said, 30:31: oh no, I absolutely say that. So that's up to you if you want to go that bold, 30:35: but you can see what's getting received and what's not. 30:39: Sometimes it's nice too because if you see all white dots here, alright, 30:44: maybe our emails are going to their spam, maybe 30:48: we just have a bad address or whatever the case may be. So let's give a call. 30:53: So I really like to encourage people to check out the notifications, 30:57: especially if you see somebody, 30:59: we've got a lot of people at a hundred percent and then we've got one person at 31:03: zero or 7% that'll give us an indication as to what's going on. Okay, 31:09: the health profile, 31:12: this is where you can see all of that participant's forms and all these green 31:16: checks tell us that this section is complete. These are demo camp forms, 31:48: but you get the idea 31:51: and you can also quickly get in. I'll need to make sure to assign a role. In this case, 33:26: Eric's been assigned as a volunteer and he's been assigned to the 33:30: highest level of Camp Maple. 33:34: So he has access as a provider to see all of 33:38: the particular sessions that Camp Maple hosts. 33:42: If Eric was a volunteer who only came for session two, 33:46: I'm just going to sign him that one, not all of it, 33:49: and I'm going to register him to that one and then I'm going to come in and 33:53: clean this up and say, yeah, he shouldn't have that top level registration. 33:56: I only want him to have access to the particular session that he's on staff at. 34:01: So that's how you would go about doing that. 34:07: But again, 34:07: that PDF Gabi made this handy dandy four step PDF for you 34:13: and so keep an eye out for that. Yeah, because a staff person. 36:08: But yeah, this is just in the forms that are built. 36:09: So this is something that your staff would, 36:13: whoever your primary contact is when working with our team, 36:17: if there's a form that you need uploaded, they can build that out for you. 36:21: So again, 36:22: I would just come to the individual profile and then I can see that and in this 36:26: case it's right here. So again, 36:28: this is in the form section but not in the registration. 36:32: So hopefully that clears that up for you. If you have a particular form of mind, 36:37: definitely reach out to your team and they can accommodate you accordingly. So 36:43: what kind of answers are we seeing here? Gabi? 36:45: Lots. It seems like weak or session is quite popular, 36:50: which makes a lot of sense. 36:52: That also goes with group select as well if you want to look at particular 36:57: sessions. And just to clarify that too, 37:00: I think that's what people mean when they indicate week or session they want to 37:04: look the particular or specific session in your organization. 37:09: So say like week one, 37:12: camp tennis or something like that. 37:14: And for that you would use the condition group select, 37:19: and in the chat there I'll send a support article that lists 37:23: all the different conditions that we have and what they each mean. 37:26: So it's like a quick cheat sheet you can use when you're using the list builder 37:30: too. But yeah, we have some other ones. 37:32: Allergies is a very common one as we can see as well. Health profile completion, 37:37: that's a big one, 37:37: especially as campus is going to be starting soon or school's going to be 37:41: starting soon. 37:42: Want to make sure everyone's forms are completed in a timely manner. 37:47: Those are the big three. I kind of rushed that on you. 39:01: Sorry about that. 39:03: We have four default roles that a lot of our organizations have 39:07: from health staff and registrar, primary provider, 39:12: blanking on the fourth all of a sudden, 39:15: but you can create as many roles as you want, 39:17: so you can come in here and then you have the ability with that role that you 39:22: create to assign options as different 39:27: availability that they can have to see to see different things in the app. 39:31: Maybe you just want them to have view access, they should see it, 39:34: but I don't want them to edit it. 39:35: You can give them appropriate access so you can do that in 39:40: here. So that's part of the answer to your question. The other part, 39:46: Phil, can you share your screen really quick? Yeah, 39:49: just realized as I was saying that, I'm sorry, I was like, oh, 39:53: all of a sudden the screen disappeared. Thanks Kim. Again, I went to settings, 39:58: general profiles and then I've been talking about here 40:03: in the permissions section, so hopefully that's a little more helpful for you. 40:07: So yeah, so 40:10: give that access accordingly. Again, we are very big. 40:14: People ask us all the time, are you HIPAA compliant? 40:16: We all know that should be something and that should be important. 40:19: And the best answer there is like yes, 40:22: as long as you're giving the proper permissions, right? 40:25: It's like asking if your doctor's office is HIPAA compliant and gosh, 40:28: they should be. But again, if it's on an all paper world, 40:31: if it's an all paper world and they leave their office doors unlocked and filing 40:35: cabinets unlocked, 40:36: they're suddenly not HIPAA compliant even though it's all in a filing cabinet. 40:40: Same thing here. If you give everyone access to everything, 40:43: then you are not HIPAA compliant. 40:45: We give you the tools and ability to protect that privacy, 40:49: but it's up to you. The last step, 40:52: Bria is when you go in and then you have those roles, 40:55: you'll go into power tools and you'll manage permissions there. 41:00: I don't want to go too far now because that walking through that sheet that Gabi 41:04: provided will help you out more, but that's what it looks like there. 41:10: Alright, we're going to go to tags, reviews and notes 41:15: returning. Folks, if you didn't use these in past seasons, I would say, man, 41:20: this would be a great next step for you. New folks. 41:24: If this is your first season and you're trying to make things as efficient as 41:28: possible, tags, reviews, and notes is a lifesaver for you. 41:33: Real quick, think about any tags. Tags, 41:37: we always say it's like groups within groups, okay, it is 41:42: common things like cabins or swim groups or maybe you have 41:48: color groups or you have multi-site, different locations. You could have that. 41:54: I can come in here and I can assign Lisa to any particular group. 41:57: So I can say I'm going to edit her tag and camp location and 42:02: she's in our Detroit location and I 42:07: can assign that accordingly. 42:09: I can then come into our list builder and I can now sort 42:14: by location, 42:16: what was it? Camp location and I'm going to say I want to see all my Detroit 42:21: campers and we'll see how many, and it might take a minute. Okay, 42:24: so you'll see Lisa, Nikolai and Michael are our only ones, 42:27: but so you can sort by tags. 42:30: Additionally in the eMAR when you're distributing medication or 42:35: meds to-do list, you can sort by tags in there. 42:38: So think about cabins for example. 42:41: If the cabin all comes in the evening to get their evening meds, 42:45: your meds staff can just quickly do tag and pull that up. 42:49: And now just filter through the list of campers 42:54: from that particular cabin. 42:56: Tags is another very 43:01: popular tag is location or transportation. 43:05: I remember meeting with a large aquarium that runs day camps 43:11: and we were talking to them, 43:13: I was talking to 'em and they had gone used this for the first time the previous 43:18: summer and we were talking about tags and they're like, oh my gosh, 43:21: I wish I would've known every week. I was having to sort through things and 43:25: every week was a minimum of four hours. 43:28: Just working on transportation tags helps solve that. 43:32: The other thing I want to point out is at the bottom, 43:34: you see this little arrow here, this is reviews and notes. So again, 43:39: we have two default review types that are built into the system 43:44: and I think it's maybe general and health. 43:49: This one's been customized as we go, 43:51: but as people with the right permissions go and they mark information 43:55: accordingly, 43:56: it gets marked as reviewed by and 44:00: timestamped. Now the cool thing is, so maybe I want to, 44:05: I say pending because I'm in the process of reviewing the allergy information. 44:09: So I want to let the rest of the medical team know, Hey, I'm working on this. 44:12: And you can create reviews for anything you want. It doesn't have to be medical, 44:16: it can be financial, 44:17: it can be behavioral. So I can say I'm in the 44:22: process of reviewing allergies again, just like tags. 44:26: I can come in here and say review status is 44:31: allergies pending? And so I can see anybody who's 44:36: in the process of I can check the status and I can say, oh, 44:40: we're still waiting on Robbie's reviewing that. And I can say, oh, 44:44: Jackson started reviewing that. Oh that was a while ago. 44:47: I wonder if he finished and forgot to mark it. 44:49: And so I can mark that accordingly and we can filter through. 44:54: And then one last one, similar to reviews, we find it down here, 44:58: it's notes. You click on this other tab here, 45:01: think of notes as those yellow post-Its on the inside of a folder on the back 45:05: end. Families don't see them, 45:07: but maybe it's good for behavioral information or maybe it's good for just 45:12: communication with your team. Mom called and we'll be arriving late to camp. 45:17: Again, same thing, you can sort through the list builder with your notes. 45:21: You can create categories for your notes. We've created a good handful in here, 45:26: but maybe there's different codes you have or medication mental 45:31: health. 45:31: So there's a lot that you can do and if you prioritize something as high, 45:36: it gets pinned to the top. So 45:40: last thing I'll show you in 45:44: regards to tags, 45:46: reviews and notes is where to create them. And again, 45:50: I know Gabi well enough to know she's been putting resources in the chat for 45:54: you. Take a look at those resources. We actually just finished a video, 45:59: it's not even up on our support site. 46:00: I'll probably get it up today or tomorrow on tags. 46:05: So you can keep an eye out for that. 46:08: But you can come into settings general 46:13: and this is where you can do a lot of customization. And of course, 46:16: because I want to show you this now, there we go. 46:18: The computer is really thinking about it. 46:20: So I can come in here and similar to where we found permissions, 46:25: if I go into profiles, here's where I can do notes and reviews. 46:29: So the first one is notes. I can come in here and say, you know what? 46:33: We're not using this particular one anymore. We don't need CPT codes. 46:38: But then I can say, 46:41: who's allowed to see this particular note by their role? So again, 46:45: all these things kind of interact together. Additionally with reviews, 46:50: I can come in here and create a new review. 46:55: The one thing that's worth pointing out is when you're creating a review, 46:58: you're going to be asked if you want a sticky review or non-sick review other 47:01: than the second grossest word behind moist. 47:07: A sticky review essentially is if a family gets in there and 47:11: changes information, 47:13: do you want the review to stay the same or do you want the review to revert back 47:18: to not being reviewed? 47:19: Some information you could care less because you know what, 47:23: it doesn't impact us. But if a health history thing changed, 47:27: you probably want to know. So maybe you want to make non-sick. 47:31: So think through that as far as creating those maybe financial aid, 47:36: that won't change if they change their health history. 47:38: So I can make that non-sick. Alright, 47:43: and tags has its own separate tab up here where you can come in, 47:47: scroll away to the bottom here, add new tags, 47:50: you can delete or deactivate them, 47:53: and then our team will work with you from year to year as far as your different 47:56: options. Alright, there we go. 48:00: Running a little bit behind as we go, Gabi. 48:03: That's all right, 48:03: because you actually already covered a lot of notifications and 48:08: partially send message earlier, 48:11: but I really do want us to go through a little bit of the attendance and 48:15: rosters, promoting from waitlist, et cetera. 48:18: So maybe we can go directly into that. Would that make sense? 48:21: Yeah, absolutely. Before I do that, I'll just show you real quick. 48:25: Gabi can throw some links in there, but keep in mind, 48:27: just because I know a lot of people aren't using it, 48:29: the send message feature here has a default to email. And again, 48:33: you can use your list builder to impact that, but we also have a text option. 48:37: If you don't see it there, it's, it's not enabled in your account, 48:41: there's no cost to enable that and your team can work with you on that. 48:44: Just ask them, just reach out to 'em. 48:46: And then you can buy on demand as you want. 48:49: Those tokens roll over from year to year. If you're not sure how many to buy, 48:54: just buy a handful, see if you plow through 'em and you can buy 'em. 48:56: You don't need us for it, you can just do it on your end. But again, 49:00: a lot of organizations use that for emergency notifications or transportation, 49:05: the drop off area changed or tornado warning in the area. 49:09: We're going to just communicate to families that everybody's okay, 49:12: whatever the case may be, text message feature is great for that. Alright, 49:17: and Gabi's, right? 49:18: We do like to show off this attendance feature here and I'm going 49:23: to try to make sure to give us time so that we can 49:28: have a little bit of time at the end for some q and a and resources similar to 49:33: the list builder on the main page. 49:36: You can come in here and you can add conditions. 49:39: And so if I want to get in here, 49:42: let's just say attendance checkout date. 49:47: Let's just see if we have anybody after we're on today's date. 49:53: What is today's date? Apparently it's the 18th and 49:59: I usually like to use group select for this play. Nice. 50:02: I didn't think that was going to play. Nice. All right. Group select. 50:06: We have a condition, so you can filter it further if you want, 50:11: or I can just say, I'm going to keep it here, view participant list, 50:14: then I can get in and see who's here. 50:18: A gray dot tells me someone's not here yet. 50:21: A Green dot tells us they're here on site. Now, 50:25: one feature that we have enabled, and trust me, if you're using attendance, 50:30: most of our or the check-in system, 50:33: most of our organizations want to have this feature enabled because 50:38: a lot of our organizations don't care who's dropping off. 50:42: If your bus picks kids up and a bus unloads, you're not looking to say like, 50:47: okay, I need to do this. Every individual, you can do 50:51: the check-in where you can say, I can do it on individual level, or I can say, 50:56: you know what, here we go. I'm just checking in one participant. Okay, 51:01: great. I'm going to clear. Here we go. 51:05: Maybe it's checkout. 51:07: And so there's a carpool that just came and you know what? 51:11: I know these four students are going with them. 51:12: I can check out four participants there at once. 51:16: Remember we mentioned tags earlier, 51:19: these gray bars here tell us what tags 51:24: apply to this kid. 51:25: So I could use that in my list builder to sort accordingly as well. 51:30: And then you can see if it's a universal 51:35: contact, 51:35: that's the Camp Maple staff or if they have individual trusted 51:40: contacts. We have their Uncle Buck and their mom Susie, 51:45: which again, probably children of the eighties and nineties know these parents. 51:51: So you can see them here and say, 51:53: uncle Buck just came and picked up Danielle or dropped her off in this case. 51:59: So again, a lot more you can do. 52:01: And I'm kind of zipping through it a little bit. 52:03: So the resources that Gabi's providing in the chat are really going to do a much 52:07: better job of walking you through in detail there.
