You're here for those who haven't touched Camp 01:26: Dock and like a year maybe your seasonal staff, welcome. 01:29: We hope that this session today can get you feeling a little bit more comfortable 01:33: and re familiarizing with the app. 01:35: If you're brand new, welcome, we're so glad to have you. 01:38: We like to think these about these refresher webinars. 01:42: It's kind of like a new provider 2.0. 01:44: So we'll be touching on the common features 01:48: and tools. The most commonly used ones in the app and go a little bit deeper and 01:53: then, of course, share resources for all those things as well. 01:56: So welcome, welcome back. 01:59: Now, before we get started, as you know, if you're a returner, we 02:03: Is like to start these off with just some housekeeping stuff. 02:06: Just some introductory language before we get into the meat of the 02:10: content. So as you know, we're here because we care about 02:14: you with your organizations, we are all here for the same mission, right? We want to help keep kids 02:19: healthy and safe and most of all we want to keep help you perform 02:23: your job more efficiently so that you can focus on important stuff, right? So 02:28: help us help you. Hence why we always share these resources and we hold 02:32: these webinars all year long. Just some Zoom housekeeping 02:36: here. Before we get started, we will be using 02:40: a camp Maple and another demo account today if you'd 02:44: like to follow along in your account, you're more than welcome, just know that 02:49: a few things will be a little bit. We won't be covering those medical tools today. 04:06: So just wanted to offer that disclaimer. 04:09: However, we will be sending out some resources with that as well. 04:13: So you have that on your radar. So just wanted to note that anyways. 04:17: All right, our agenda today, learning objectives. 04:20: Obviously, first, first profile is going to go over a participant profile and 04:24: what each of those tabs mean. Go over our list Builder and Reporting 04:28: functionalities tags, reviews and notes, which are tools for organizing 04:33: the participants and staff. 04:35: Then we're going into messaging and notifications tools for communicating 04:40: with your participants and fellow staff attendance 04:44: and registration roster management. Then lastly, we'll 04:48: close with the review of training resources and are closing Q&A. 04:53: All right, and then let's get into our objectives today. 04:57: So by the end of the webinar, you'll be able to list and Define the functionalities 05:01: within an individual. 05:03: Participants profile. You'll use the conditions in the list Builder to generate reports 05:07: for your needs. You'll use tools to communicate clearly 05:11: internally externally and organizationally review, and 05:15: organized, participant information, and track participant attendance, and 05:19: check in and check out. Nicely done. 05:22: Gabby this sound that sounded so lovely. 05:24: Oh, thank you so much. Yeah, yeah. 05:27: And then lastly, one more thing before we get into 05:31: it wouldn't do some quick definitions as well. 05:34: There we go. Just some lingo. 05:37: If you are new here or it's been a minute it's always nice to just for fresh and some of 05:41: the language provider just means you write any staff 05:45: or employees of the organization who have access to the provider portal in 05:50: the an application, the camper or the participant as we like to say 05:54: is any child attending the sessions. 05:57: So those are the people who complete your health forums and who are attending camp 06:01: or school. 06:03: And then app we just refer to app is the application 06:07: or the platform the camp doc or School doc doesn't refer to any separate 06:11: mobile app that you have to download or anything like that, just the app. 06:15: All right, I think we're ready about missing 06:20: anything. You've all 10:08: got people's valuable family members, their kids. 10:12: And what we're here is what we're here for is we want to sharpen up 10:16: your tools so that you can use the this 10:20: app this platform as efficiently as possible. 10:23: Ultimately, as Gabby mentioned earlier, this is about safety and efficiency and 10:27: getting you know, making sure your campers, you're you're students. 10:31: Your participants are well, taking care of and so It 10:36: is our job to help set you up for that. 10:38: So I'm gonna go ahead and share my screen here and as 10:43: you may remember this is the provider landing page. 10:47: So Gabby this is we're looking good, right? Okay, good. 10:52: Yes, great. So this is the provider landing page. 10:55: It's going to look different for you based on a few different things. 10:58: Keep in mind and you'll hear 11:00: Say this a few times throughout the the webinar today that 11:05: a lot of this depends on your roles your permissions and the features within 11:09: the platform that your organization utilizes. 11:12: So if there are things, you think you should have access to but you're not seeing. 11:16: Maybe we demo something and you say I just don't see that. 11:19: You're gonna need to touch base with your primary provider your organization so 11:24: that they can make, make sure you have the tools that you need. 11:27: Additionally, if you are that primary provider and you don't see something, then reach 11:31: out to your your team here at Camp Dock and then make sure that you know a feature is enabled 11:35: if you're interested in using that or walk you through the necessary steps. 11:39: So So let's take a look here real quick. 11:43: And we're gonna, we're gonna choose a Betty Allen to start with as our 11:47: example. So, as Gabby mentioned, this is a demo camp Camp Maple. 11:50: We have a lot of fake participants in here. 11:53: Now, I'm going to show you what it looks like to look at an individual 11:57: profile and where you're going to find. 12:00: What information? So we click on the profile that's in the system 12:04: and by the way, in a minute Gabby is going to be showing you the 12:08: list Builder and I don't want to spoil anything but just by way, especially if you're a 12:12: returner and you're and you go to pull up, you know, maybe you know, I'm 12:16: pulling up Betty and there's several Betty's but maybe it's somebody different from the past. 12:20: I'm going to just clear out my conditions and then I can see all of my participants 12:25: in the history of our organization. So just a quick reminder for 12:29: you there but in this case, I know we're going to look at Betty's profile here. 12:33: And there's a number of these different tabs up top that we want to highlight. 12:36: Now again, a few of you may have a couple less tabs 12:42: than what then what you see here. 12:44: But this is kind of our, our demo camp. 12:46: We really turn on a lot of the features and just kind of show it in that perspective. 12:51: All right, so the first tab is registration's, 12:55: and this is true, even if you if any of you logged 13:00: Today. I know, this is designed specifically for our registration orgs, but I know sometimes other 13:04: orgs, get on, maybe you're interested any, which way, no 13:08: matter if they're registering within the camp, dock platform, or another platform and import it 13:12: in, this is where we can see the sessions that they are registered 13:16: for. So we can see. Betty has come to a handful of our sessions in 13:20: past years. We see that we canceled one of her sessions and 13:24: so on likewise if I need if I have those permissions and I need to add her 13:28: to a session, I can come in and add her to session four because the family 13:32: called and said we need to get her registered and so I can add sessions 13:37: there as well. Tags will cover that in a 13:41: little bit, but think of groups within groups. 13:43: And this is where we can see all the tags assigned to Betty. 13:47: We're going to dive deeper into that in just a moment. 13:50: Account, again, assuming you're using us for registration, which most of you in 13:54: here, are this is where you're going to see all the financial information that 13:59: goes with. 14:00: Betty's registrations. 14:02: And that sort of thing. You can come down and you can click on certain on 14:07: certain, light items to see a little more in depth as well, if there's further 14:11: adjustments or details that you need, you can add line items and and 14:16: More in here including external payments, refunds 14:20: that sort of thing. Users. 14:23: This is typically a parent or Guardian. 14:25: You can add multiple users to an account. 14:28: So if we want, you know, both parents on there, if we 14:32: want, you know Guardian I added we can do that and you just 14:36: simply come in, add a user send their email address, and then that 14:40: will kick out an email invite to that user and 14:45: say, hey, we're asking you to help oversee this account, Notifications. 14:50: I hope you've seen this one. This is one of my favorite features. 14:53: You click on this and this shows any emails that were 14:57: generated from the system. Whether those are 15:00: Automatic emails that say, Hey, your profiles 15:04: incomplete or whether those are custom messages that you sent out as an organization. 15:08: This is where you can see their status. 15:10: So white that tells us this is was not seen this 15:14: green. Check tells us, this has been seen. 15:17: So in this case on April 9th at 3:11 a an 15:21: email was sent and they saw it just about an hour later. 15:24: So when somebody says oh I never got that email, you can always 15:28: come in and hit resend and make sure that that kicks 15:32: back out to that family as well. 15:36: Also when they say, I didn't see that email and you look at it and 15:40: say yeah you did Big liar, which again I would just 15:44: encourage you to think about your verbiage on that one perhaps. 15:46: So, but you could say, oh no problem. 15:49: I'll just go in resend it. So just helps smooth out communication between 15:53: you and your families. Health profile. 15:57: This is essentially all your forms. 16:00: To where your forms are collected. 16:02: This is where you look. Now, I'll throw the caveat on there. 16:05: A number of our different organizations call that something different. 16:08: We can customize that for you. So when your organization, it might say participant 16:13: profile, it might say forms, it might say health profiles are default 16:17: one. So that's what you'll hear us call it, but it might be slightly different for you. 16:21: But essentially, this is where you're gonna see all your forms. 16:23: Red. Dot tells us this section is incomplete and a green. 16:27: Check tells us. This is all set. So I can get in here and say, yeah, they haven't 16:31: even touched. Well, they touched a few of these questions but there's still missing some questions. 16:36: A camera icon tells us that there's an image that's uploaded and 16:40: I can get in. And, in this case, I'm looking at it and immunization record and I can 16:44: say, yep, we're all set on there. So if I'm in charge of reviewing those immunization 16:49: records, the camera icon tells me there's something there. 16:53: The other thing I want to point out for, for this section, 16:57: in particular, a couple things. Number one, 17:00: These forms your primary provider when working with our 17:04: team attributed, the right, forms to the right session, right? So 17:08: we know that session, a, b and c may have different forms 17:12: and session, d e and f or your high school overnight camp has different 17:16: forms than your day camp for elementary students. 17:19: Right? So, if some of your participants are signed up for multiple 17:24: programs that require different forms, regardless 17:28: of if that's the case or if it's just very simple they're all going 17:32: to show up here and it's all based on the forms that they're registered 17:36: for here at that in those registration section. 17:42: The one last thing I'll show you is if you have the right permission and a 17:46: family needs help, you can always see what they see by clicking edit and 17:51: let me see. Gabby design is this following here on 17:55: my screen? Did I switch over to the participants side? Yes. 17:59: Yep. Okay. 18:00: Great. Great. So and in this case, Betty's family called and said hey 18:04: you know our power went out. 18:06: We want to get this done. Can you just mark this? And this and this or whatever. 18:09: The case may be, hopefully a better excuse than that. 18:12: But you know, if you need to do some of that data entry on 18:16: your end, you can do that. Assuming you have the right permissions by simply. 18:19: Clicking the edit button. 18:23: All right. And I do see Rebecca sent a question in 18:27: here in chat. As far as the name of that Health profile tab. 18:31: That is not something that you can do on your end, but if that is 18:35: something that's your interested in, reach out to your Camp doc team, and they can work 18:39: with you on unchanging that. 18:41: So, If they have medications, you're 18:45: going to see that in in this section, Betty doesn't have any thankfully 18:49: nice and simple for our fictitious child. She's a healthy fictitious kid and 18:55: then the health log, the health log, if there are any incidents to be reported, 18:59: if there's 19:00: She's gone to the medical clinic before and that's been recorded. 19:02: You can see that in here. Additionally, you can make a new entry right 19:07: from here and that'll take me to the health log and it will auto-populate 19:11: this health log note for Betty. 19:14: So, All right, the last thing and 19:18: again, let me go back to Betty's profile. 19:20: If you have the camp grams table, 19:24: there's a campground Camp Graham's feature enabled. 19:28: Yeah, 9th. Time's the charm on that one. 19:30: Then you can see some information in here. 19:33: You can see the campgrounds that were sent to Betty's account. 19:37: All right, so there you go. Worked you through the, the individual profile 19:42: forms and we'll touch base on the 19:46: tag section A, little little further ahead. 19:48: But Gabby, I think the floor is yours. 19:51: Awesome. Thanks Phil. 19:53: Yeah, that's a great overview. 19:56: It's always nice to just get a little bit familiar with what each of those. 20:00: Tabs mean. Yeah, definitely. 20:02: As you see, I just launched a hole 20:07: there, that kind of primes us for the next section or 20:11: topic which is about list Builder and reports. 20:14: So how would you go about checking whether a participant is 20:18: at risk for anaphylaxis? And this is a check all that you can or 20:22: check all that. Apply question if I did it right in Zoom so 20:27: a check the health forms in their individual profile be 20:32: filter for anaphylaxis risk condition in the list Builder. 20:36: See however over the med kit Icon by the 20:40: participant name which is an exclamation mark and that means that there are at risk 20:44: for anaphylaxis or D, just hope for the best. 20:48: Use the honor System wing it. 20:50: I can't see what we'll go wrong with that one. I sound like sorry. 20:54: Yeah, at all, not at all. 20:56: So let's Let's see. 21:00: Be a few seconds here. And I'm going to give you a tip or not a tip a 21:04: little hand. It is more one answer. 21:07: Oh okay. Oh that's good. 21:09: That's a good point right there. Yeah here good. 21:15: And it looks like most people are in um, perfect. 21:18: Thank you for those who participated Answer 21:23: is a b and c. So, all three, there's different ways 21:27: that you can do that. And we'll go over some of these ways actually. 21:31: So, just as Phil said, you can, or feel was a referring 21:35: to the health, forms, a health profile and a participant profile. 21:38: You can look through those forms and check that out. 21:41: You can also filter for this in the list Builder. 21:45: And yes, you can. Hover over a participant's name 21:49: and you'll see the medkit icon there. 21:51: And if that Medicaid icon has, and that's when nation Mark, then 21:55: means that they're at risk for anaphylaxis. So yeah, be good. 22:00: No one was going for the honor System. They, yes, 22:04: I think that I know, I would have been a little concerned. 22:08: I am, I was prepared to publicly shame people, so I'm glad 22:12: that so in the wrong and the wrong industry. 22:15: Yeah. Yeah, but 22:20: also thank you for that. And like I said, it primes as well for the next section 22:24: here. So, 22:25: We are going to get into list Builder and 22:29: reports, so let me share my screen. 22:33: But, I 22:37: pointed out the people people who are new joining us and Gabby loves when I pointed out but Gabby 22:42: Segway Gabby provides her own segue music between different sections. 22:45: So she's, you know, she gets a little, a little man. 22:49: Yeah, I do any other musical people in the audience. 22:53: Maybe he's a virtual hand going back. 22:57: Yeah, there we go. All right, let's do it. 23:01: Let's do list Builder. Okay, as you may or may not know, the 23:05: list Builder is our filtering tool. 23:07: So this allows you to basically filter for your 23:11: profile list, your subset of profiles, that match specific 23:16: criteria that you have. Whether that be, you know what you want to look for people 23:20: in a certain session, you want to look for people who have a certain allergy. 23:25: Whatever it might be. So it is our filtering tool essentially. 23:29: And, as you see, my screen here, this is our essentially, our 23:33: home page, it will be the list Builder homepage, and you see 23:37: here at the top, there's a few different tabs and the list. 23:40: Builder is the first one, I think because it influences 23:45: all these other tabs as well. 23:47: I say the list Builders probably one of the most powerful tools because 23:51: of that reason because it everything that you pull like 23:55: any message that you want to send and any tags you want 23:59: to assign any reports that you want to generate. 24:02: All of that is based on your profile list that you filter for in 24:06: the list Builder. So it's a good little tip or yeah 24:11: tip here that it's the first one here because it kind of tells you okay. 24:15: Any of these other features that you want to use, you have to do the list Builder 24:19: first. So it's a good starting point. Stop one. 24:22: All right, and let's point out a few things. 24:25: In here, just to refresh your memory at the top here, we see the default 24:29: list, most likely, the participants current is the list that 24:34: will be present here. But say, You're really just want to look at your 24:38: list of providers. For whatever reason, you can just go in 24:42: this list here and click providers current. 24:44: And you'll notice that the list changes, as well as the number here. 24:48: So, right now, for example, we're just looking at all the providers in the camp 24:52: Maple account. If you want to go back, you can go just participants 24:56: current and you'll look at your participant list here. 24:59: If there are any lists that you save that, you create, you save 25:03: and even share with other folks. Other providers, those will be here as well 25:07: and I'll show you that in just a moment. So this is often used, you 25:11: know, if you have a list that you pull frequently and you just want to quickly go 25:16: to it, that's a good reason why you would save your list and 25:20: you can just go here and it will be there for you. 25:24: We did summon the past. 25:25: Here as you see for example can't maple syrup Session 1 allergies. 25:29: If I click on it you'll immediately see that the conditions are populated 25:34: there we have zero profiles for this example but I just want to show you that that's 25:38: the list that we had saved and previously and these are the conditions that are saved 25:42: with that list that will look a little bit differently for yours. 25:46: I'm sure. All right, let's go back to participants current. 25:52: All right, so what we see here, this view is the default view, and this will 25:56: show all profiles for current or upcoming registration. 25:59: If you want to see historical data and look up, participants from 26:03: past sessions past years, you can just simply X Out of these and 26:07: then that will show you everyone. But for now, let's just make a little bit 26:11: smaller. We're just looking for current upcoming participants here. 26:16: You'll notice 12:44 profiles pretty big number. 26:20: So let's filter that down a little bit. 26:23: So, let's add a condition. 26:25: And we'll provide a resource that show you. That shows you all the different conditions that we offer. 26:30: There's quite a few and we have a good resource on our support site 26:34: list. Just a one-sentence description of what each of those means. 26:38: One of the most common ones is group select, which essentially 26:42: is a condition to help you. 26:44: Look at all the different sessions or groups that you have within your programs. 26:48: So as an example for this demo account, let's 26:52: look at Camp Maple Leaf and you'll notice as I'm 26:56: beginning to type it starts to populate there. 26:59: So let's look at session one and let's see how the numbers change. 27:03: Cool. So session one you see that decrease to 221 profiles. 27:07: Significantly awesome. 27:09: So let's say we want to add a second condition we're looking for Let's 27:14: say all participants session one. 27:16: Who registered? I don't know after April 1st so let's 27:20: do. Registry registered date. 27:27: After. And then April, 1 2025 27:33: Let's see if anything comes up. Awesome, there's one. Okay. 27:35: So you see as we add more filters, it kind of funnels the list 27:39: a bit more it gets narrower so it's a great way. 27:42: You know if you're there's specific list that you're looking for. 27:45: This is a great tool to use for that. 27:49: A few other filters. I wanted to point out as well that might be relevant 27:53: for registration specific organizations. 27:55: Let's exit out of this one. Maybe you want to look at registrations 28:00: that were canceled or submitted a registration cancellation request. 28:03: You can pull that condition as well. 28:06: So, let's look at here, registration cancellation has been requested, looks 28:10: like 0 profiles here. However, let's see if we want to look at everyone and not just 28:14: those in session one, we can exit out of this one, and let's see if that changes it 28:19: does. So we do have one registration cancellation, just not one. 28:22: That was part of the camp. Maple Leaf Session One. 28:26: So you can play around with the different filters here. You'll see how the the numbers and 28:30: the profile changes with the conditions that you add. 28:34: Another one I wanted to point out is well that's often kind of Forgotten is 28:38: the demographic change request so you know 28:42: if there was a mistake made and your families, you know, maybe they put the 28:46: wrong year of their the child's birthday or something like that. 28:50: They also submit a demographic change request and then you're providers or 28:54: if you're the primary provider will go in and approve or, you know, deny that request. 28:58: So you can have a condition for that here has 29:02: been requested. They'll populate and then you'll see oh this 29:06: person that's I think actually this is the one I made change 29:11: requested you'll hit there and you'll see oh there. 29:14: Yep there's a change or requests that I put in the wrong date for Nikolai and 29:18: then from there you can deny or accept Nicolai what a great name that 29:23: was inspired on my cat. 29:25: Based on my cat. Yes, get you to be 29:30: clear that. Yes, always cats on my world. 29:33: I think I think a lot of our demo accounts are made up of like celebrities. 29:38: Our pets. Are you know, really there's a lot of those. 29:41: Oh, yes, absolutely. One more filter here, 29:45: if I met is another popular one is allergies. 29:48: So we get this a lot is say you want to generate a 29:52: list of our food allergies for your kitchen staff. 29:55: For example, so they can prep and make sure they, you know, have that ready, that 29:59: information ready for when they're, they're creating meals. 30:02: So, look up allergies here you can look 30:06: at all of them or you can look specifically for the food allergies Flex select that 30:10: select that And yep, we see 59 profiles 30:14: that have indicated a food allergy and therefore in 30:18: their forms. You can do that as well. 30:21: And as I mentioned like before you can save this list, if it's something 30:25: that you 30:25: Will frequently will generate and just to save you a little bit of time, even just a 30:29: few seconds. You can save that list name, it whatever you'd like and you have 30:33: the option to share that with other providers as well. 30:36: And once you've sat saved, that will pop up right here in the default list. 30:41: All right. Oh, one other 30:45: thing. I wanted to point out for give me is the group select here. 30:48: You'll see this little show pass groups, checkbox 30:52: pops up, and this is simply if you want to filter for all participants 30:57: in a past session or session. 30:59: So if you select that you'll be able to see those participants 31:03: as well. Alright, I will move on 31:07: to reports and 31:09: Just going to go over that briefly because that's that's a whole other webinar in and of 31:13: itself. So let's do that. 32:15: That's actually go. Oh, first things first, 32:19: we got to filter our list so let's go back to can't 32:24: Maple Leaf Session 1. I think it was like, 200 32:29: something. Participants. 32:31: Yep. Okay so we got our list. 32:33: We're looking just for the camp. Maple Leaf Session One folks. 32:37: And here we want a custom report, let's select a few different variables, let's 32:41: do emergency contacts. So you'll notice two columns here, right? The 32:46: left one, are the main sections or the headings in the health profile forms 32:50: and then the right column are all the questions. 32:54: The sub questions within them. If we wanted to select 32:58: all of it, we just want to complete Health profile form or 33:02: health profile report. We can simply select select 33:07: all and you'll have a report that has 33:09: All this information which honestly is one of the recommended best practices 33:13: in the event that you lose power. 33:15: You know there's an emergency it's really great to have those 33:19: reports on hand even if you don't want to print them out or anything like that, save it on 33:23: your computer. Just have that complete Health profile report for your participants definitely 33:28: recommended For now we don't need all that information, let's 33:32: just do emergency contacts. We want all of this info, we're going to select all. 33:36: We want allergy information medications 33:40: OTC over the counter medications and 33:44: let's look at insurance as well. 33:49: All right, so we have a few things that we selected. 33:53: Now, we go to the bottom. We have a few options here. 33:55: We can do a PDF format, or if we want to, you 33:59: know, manipulate the data a little bit more, we can do a CSV or an Excel. 34:04: Do that as well. I'll show you the PDF first and then 34:08: you'll see a 34:09: Advanced options here. So, these are just Some 34:13: more options. For example, if you want images included, maybe the insurance 34:17: card. You want to have a picture of that, you may be want to include expired 34:21: answers. Whatever the case may be, we do have a dedicated as part Arnold support 34:26: side as well. That goes through each of these options a little bit more in depth too so we can get a little bit 34:30: more familiar. But just know we have that option as well. 34:33: And then obviously, for the csv2, we have those options. 34:36: So, let me show you what that looks like once we create 34:40: it, you title it. And then you'll go into forgive 34:44: me down. Loads here, right next door, and you'll see the reports. 34:48: So these I downloaded just a little bit before the webinar, a 34:52: PDF report looks like this. 34:54: Again, these are our four, the profiles that we filtered for You'll 34:59: notice that in our allergies, the anaphylaxis risk is in 35:03: red here. Yes. All the medications are listed the emergency 35:07: contacts. 35:09: Everything that we would selected here. This 35:13: is what the PDF looks like this. And then we also have the 35:17: CSV file as well. Again, if it's something that you, maybe your 35:22: Savvy and Excel and spreadsheets, and you kind of want to manipulate the data a little bit, you 35:26: know what you're doing there, maybe you prefer the CSV format, so we have that option 35:30: as well. So just wanted to quickly show you what that looks like. 35:33: I'm probably running over time Gabby before you. 35:37: Which off from this? We got a good question from Christine. 35:40: Yeah we're a little bit over time but I think I'm sorry. 35:42: Oh you're good. It's worth pointing out for everybody's benefit though. 35:46: So Chris is asking and I'm going to read the whole 35:50: thing out and we'll walk through Christ who may not exactly answer what you're 35:54: looking for. It sounds a little bit unique but I do think it's beneficial Christy 35:58: saying. How do you run a report that covers all sessions in a specific year? Do you need to 36:02: select each individual session in the year or are their overarching 36:06: departments parking Arena Department? 36:09: That you, that you can select that include all of the sessions 36:13: within that department, we'd like to run a report to know how many attended each 36:17: Department's sessions in a specific year. So Gabby you kind of touched on that and I see you 36:21: showing, when do you want to take it from here? Yeah, absolutely. 36:24: Great question. So there's a few different ways to do this and I think the easiest 36:28: way, well, let me start again this session's here as 36:32: their listed is all based on your accounts group structure. 36:37: So how your account and all the sessions are organized within, you know, within 36:41: your programs. So you have a few different ways. 36:44: If you want to, let's say you're 36:49: interested in, can't make belief and you want to look at all five sessions in there. 36:53: At one time, you can certainly do that. 36:55: The camp Maybelline would be like the parent, right? So the the 36:59: top or the yeah, the top level, we call them levels. 37:03: So let's add that condition. 37:05: Here. So, instead of just looking at Session One, 37:09: Group. You want to look at all of Camp. 37:11: Maple syrup sections, one through five. 37:13: So you can do that. You can do, let's do can't 37:18: Maple. If you even start typing in and you can is there certain keywords like 37:22: Gabby could type in syrup and that's gonna pop and you don't have to start at the beginning either. 37:26: So if you have keywords that that help yours pop up more uniquely, you can do 37:30: that. So you'll notice I put Camp Maple Leaf and it's 560 37:35: profiles. And you can keep narrowing that down by 37:39: adding a different condition. Like, you know, adding the The 37:44: session one that we talked about before and you'll notice that it funnels a little bit more so 37:49: to 21 profiles, but yes. So yes need to say the camp. 37:52: Maple Leaf is the top level. So if you wanted to see all the sessions within that group, 37:56: or that department, or that Branch, 38:01: whatever it might be, you can do that. Just by selecting, that top level in 38:05: there, If you wanted to, you could also just select. 38:09: To all those sessions at once. 38:11: So, all the session. One, two, three, and you'll see that should add up 38:15: also to 560 profiles as well. 38:19: The only thing I'll add on to what Gabby's saying just to help you picture it 38:23: because for some of you it's super simple based on your group structure. 38:26: Sound like maybe you have a whole lot of courses. 38:29: I used to tell people, it's a silly illustration, I know. 38:32: But like think about it like Russian nesting dolls right? Like in our case 38:36: here can't Maple. Is that giant nesting doll 38:40: that everything falls under but then maybe session one is the smallest doll, 38:44: right? And so then you kind of work your way back up. 38:47: So like then it's Can't Make Believe maple syrup 38:51: session one is the next one up and and so on so thinking about it 38:55: that way you can you can do one or all of those together. 38:59: So yeah. Great. 39:03: Well um let me share and as Gabby 39:07: walked us through 39:09: As Gabby walked us through the list Builder, especially 39:14: as we're looking at this as a refresher webinar today, would you do us a favor 39:18: and hit that QR code? And we do have a condition to answer Catherine's question. 40:31: We do have a condition on trusted contacts as well. 40:34: Trusted contact name, email address and 40:38: even just for profiles with or without a trust contact as 40:42: well. And I just shared in the chat there, just 40:47: the section of that support article, that had that lists, all those conditions. 40:51: So if you just want to brief description of what the heck, 40:55: a condition means definitely save that resource there. 40:59: You've got options. Nice, great. 41:02: Thanks for adding those 41:05: In their friends. We'll keep us moving. 41:07: I'm going to try and go through this. Next section A little quicker here but 41:12: we're going to go tags, reviews and notes, just as an 41:16: FYI, a lot of our new organizations maybe in year one, they don't even know 41:20: about this. So maybe you've been with us for a year two and you haven't been using tags, 41:24: reviews and notes. I'm telling you these will save you significant time 41:28: when it comes to efficiency. They'll save you significant time when it comes to pulling 41:33: up lists of kids and we're going to show you why as we 41:37: go. So we were looking earlier at my friend 41:41: Betty and you might have noticed down on the bottom, we've 41:45: got this little arrow and all the individual profiles for reviews 41:49: and notes, we're gonna click on that and see that handy. 41:52: Dandy file pull up. 41:54: So we now have access we can now look at reviews notes and as 41:58: a reminder, we can see tags up here. 42:00: So, these These are the sections. We're looking. 42:02: We're looking at, and this is what it looks like. 42:05: From an individual perspective. So, let's talk about tags first. 42:10: So tags, we refer to this as anything. 42:13: You might use for groups within groups. If we're talking about a traditional summer 42:17: camp, it's easy to think of examples. 42:19: Like our cabin, our Color Group, maybe a counselor that 42:23: sort of thing. A swim group, swim group, skill level, and you can come in 42:27: at any point. Let's say, I run the Waterfront and Betty past her her 42:32: swim test and actually she's better this year. 42:34: She is really improved and I'm saying she's in advance, you know, in the advanced 42:38: swim group, right? So I can just simply adjust them one off, 42:42: you know, maybe we run a date camp and 42:46: so we're not using cabin, but another part of our organization is using 42:50: cabin so we can leave them empty. If they don't apply that's that's totally fine. 42:55: I'll show you in a few minutes where we can we can sort these. 42:59: But again think about any tags that you may want to use to help kind 43:03: of narrow down certain subgroups 43:05: For in your particular organization, reviews 43:09: and notes reviews and notes, same sort of thing, oftentimes 43:13: go unused. What are the things that your team needs to review before a kid sets 43:17: foot on your property? You want to see their health history. 43:20: Do you want to see? We've talked about anaphylaxis a few times. 43:23: Do you want to see? Do they have a risk there? That we need to be aware of whatever 43:27: the case is, have the emergency contact information. 43:30: Didn't filled out, we can come in here, we can create these reviews, you 43:34: can do it too. You don't necessarily need us. You can go to settings General and adjust 43:38: it from there. Again, we're going to send you resources on how to do that. 43:42: I'm sure it's popping up in the chat. But this the reviews. 43:46: I come in here and I can say, you know what, it's my job to oversee emergency contacts. 43:51: And so I'm going to be working on that. It's going to stamp it with my name 43:55: and time stamp it accordingly. And then when I come back and go, yep everything 43:59: is all set. I can adjust it. And now we know these have been set, 44:05: Likewise, similarly, with notes notes. 44:09: We tell people to think about, think about these, as if you're in 44:13: an all-paper world, this is your yellow sticky note on the inside of the middle of folder 44:17: that you want your staff to see. 44:19: But you don't want the families to see, right? And, and they couldn't can be a 44:23: significant issue or maybe they're small, but you need a way to communicate it, right? So again, 44:28: you can create categories for anything that you want in our demo Camp. 44:32: We've got a handful that have already been created, you know, but we 44:37: could just say, you know, struggling with homesickness, you 44:41: know, it's not a deal. But we want our we want our our team 44:46: to be aware of it or next year. You know. 44:48: We look through the notes and say, oh, yeah, don't forget, we need 44:52: to, you know, help help Betty with that or whatever the case may 44:56: be. Now last thing I'm going to show you, there are a number 45:01: of places where those tags. 45:05: Going to really pay off for you, those those notes and reviews for example. 45:08: So I could come back to my list Builder and I can say I 45:12: want to see I want to see anybody 45:17: who's review status. We want to see our swimmers again. 45:20: I'm overseeing the, the Let's 45:24: see the swimmer. Oh I didn't what? 45:28: I'm not pulling it up. That's a bad example. 45:31: Hmm. How about we 45:35: go with? What's that swim level? Swim 45:40: level. Did I pass it? I feel like I wasn't seeing it but I know 45:44: it was in there but in the interest of time, well let's also go with oh it 45:48: was a tag. That's why. I was like, I know I've got it here. 45:51: Swim group is Advanced. 45:54: So now I want to see all my Advanced swimmers all 45:58: summer long. I'm looking at these seven swimmers so you can see Betty pops up in that list now. 46:02: So likewise cabins, I can pull up 46:05: A cabin when you're dealing with the medication stuff. 46:08: If I if it's a emaar where these are my meds to 46:12: give out, I can pull up by tags, I can pull up the cabin and 46:16: say, I just want to see the kids from, you know the oak cabin 46:20: there there here at the medical clinic now, and we're going to treat those kids 46:24: that sort of thing, so tags, reviews and notes. 46:27: It unsung hero in the system. 46:29: So again, that was a quick quick push through there, but 46:34: in the interest of time, oh, keep us moving Awesome. 46:39: Sounds good. Thanks Phil. I'm gonna 46:43: Skip around a little bit and go to messaging and notifications and 46:48: very briefly. So we have a couple tools 46:52: for communicating with your families, externally, Phil 46:56: touched on the no reviews and notes. And those are great tools for communicating with your providers 47:00: with your staff, more internal communication tools, and so external. 47:04: Communication. Tools are send message feature and automated notifications 47:09: that we have. Let me share my screen really quick. 47:12: Phil did touch on the notifications tab within a participants 47:16: profile. Or you can see Whether messages were 47:20: sent and opened to families which is a great 47:24: thing to use and just to make sure you're, you know, they're in the loop and 47:28: whether you need to resend notifications or messages or even 47:33: get on a get on a phone call with your families if they're not responsive. 47:36: But anyways I wanted to show you really quick. 47:40: Our son message feature here and 47:43: Again, like I mentioned before, first thing I want to do is create your list in the list 47:47: builder for this purpose. I select a new my session one can't 47:51: Maple Leaf and those who have a food allergy, you see? We only have six profiles for that. 47:55: So next we're going to hop on over to our send message tab 47:59: here and you should be have a few options. 48:02: We have their email and we also have text. 48:04: So email allows you to send obviously emails 48:08: in bulk or individually to your profiles. 48:11: One, best practice that we like to say, is to ask 48:15: your participants and your families to whitelist the camp, dock.com 48:19: school doc.com and or doc network.org domain 48:23: to make sure that the emails coming into them are not being marked as spam by the email 48:27: servers. So just a little tip there. Also, 48:31: just to know that the emails are sent from no reply at Camp. 48:35: Doc school.org network.com. So here you'll 48:40: see a few different options, you can load a template. 48:43: This is something that you've done ahead of time. Maybe you have a template for allergies 48:48: or reminders or whatever the case may be. 48:50: If it's something that you use frequently, you can go in and load out there and it 48:55: functions, just like any other email platform, you have a subject line, you have your message 48:59: if you'd like, you can include a file as well and 49:03: send that over. If there's only, you know, specific people within that 49:07: list that you pull that you want to send it, you can also just simply check the checkbox 49:11: next to their name and then you'll see that. 49:14: Okay? I'm going to just send it to that one person and set up this six that I filtered 49:18: for Hopping over at the text message, we 49:22: have this option as well and this is great to use, you know, in case of emergency situations 49:26: or if you know you you work with families who Premier League, use 49:30: text messaging. So we have this option as well. 49:34: Please note, though that tokens are 49:38: required for using this. So in token purchase is required. 49:41: We do 49:43: You plans on our support site that lists, you know, how purchasing 49:47: tokens and bulk. But just know that this is an extra 49:51: cost there and you use tokens for each text 49:55: message and this is something that you'll need to enable with your clients access team and 49:59: have your participants enable on their end as well if it's something you want to use but 50:04: for the email you know, that's included and that's, you know, widely used. 50:09: So just wanted to show you those really quick, we do have the automated 50:13: notifications all so that you probably most of you already use and these 50:17: are things like sending reminders when a profile is incomplete. 50:21: And you know, you need to get those health forms in Camp starting soon. 50:24: So you send those messages over and those are all done within 50:28: setting but we'll send more resources on that. 50:32: There's just running a little bit of short on time so I won't go into that too much 50:36: but know that those are all so an option there. 50:40: All right, Phil. I'm sorry. The only one that that cost money 51:40: just so you know, those tokens do roll over from 51:43: An ear out. If you're not sure how many to buy just you know, buy a small bundle 51:47: and and you know, give it a shot and go from there, your 51:51: your team can enable the feature for you and then you can do it on your own. 51:54: So Absolutely great. 51:58: Well, as we round the bend, let's talk about rosters and 52:02: registrations here in our last section. 52:05: Again, as Gabby mentioned at the beginning, we did 52:09: recently have a health health webinar where 52:13: we have we went in depth especially on our emaar. 52:16: So if if you were here today hoping for some of that, we've got that covered 52:20: recently for you and our reports webinar next week. 52:23: We're going to do a deep dive which we're really excited about. 52:26: So, I just as a reminder where to find my roster 52:30: where to find my list of participants, you're going to come to your group roster and 52:35: registrations and click on that tab. 52:38: That's going to take you here. There are a few things that you can do on these Pages. 52:42: You know, your first page is going to come to like, all of 52:46: your lists and you can come down here and say, I want to load more load, all. 52:50: That's not all of them. I want to see them all. 52:52: You can do that. You can filter for further groups based 52:57: on a number of different. 52:58: As well. But again, even if you just I know we had 53:02: someone earlier say well you know what, about breaking them up into different segments. 53:06: You could say, I oversee all of the camp maple syrup programming. 53:10: So I want to see that and so that way you're going to see just 53:14: the camp maple syrup program or again, maybe 53:18: I'm only wanting to look at Session One. 53:22: I can just type that in here as well. I can always export my list. 53:25: Additionally, and if I have enabled weightless 53:29: add-ons, or coupons, I can come in here and see who's purchased, what? 53:34: Or I can see who's sitting on my weight list, you 53:38: know, and and I can, I can move them accordingly, so that gives you ability 53:42: to manage your roster from there. 53:46: The other thing we're going to show here just briefly as we go, is the attendance 53:51: feature? This is included for you. So even if you don't see it, there's no additional 53:55: cost. Our team can simply enable this feature, 53:58: You the one thing to point out is you do have to have active 54:02: participants. So if you don't have any participants on campus today and 54:07: you go into play with this and test it out, you're going to be like, I can't see anybody 54:11: I don't know. How do I test it out? So we do, you know usually 54:15: if groups really want to test it out, one 54:20: of two options. You can reach out to us the training team. 54:22: We we can create a Sandbox account for you, where with dummy data, 54:26: there's a cost to that one. 54:29: Additionally, sometimes your client 54:33: success manager may be able to toss some creative fake session for you. 54:37: I know they've done that historically as well. 54:39: So the Green Dot tells us that these participants are here and 54:44: a grade that tells us they're not. So right now, let's say I'm working on check-in 54:48: right now. I'm only going to see the participants who haven't checked in yet. 54:51: So Nancy's car pulls up and they they 54:56: drop her off. Oh look. And you know what? Her and Danielle. 54:58: Rode together and I'm going to check in those participants and it's as 55:03: simple as that. Likewise at the end of the day, you know we're doing 55:07: carpool and you know a handful are being picked up all 55:11: at once and I can type in a name if I want. 55:14: And oh look, Gabby came to pick up 55:18: Nico and I can, you know, check out all of those participants accordingly. 55:23: So it's as simple as that. There's audit auditing Tools 55:27: in there as well. So if you missed somebody, or you need to go back 55:31: and correct a record, you have that availability as well. 55:34: So those are the main things worth pointing out on the attendance side of things. 55:38: Some of our resources will help walk you through but it's a pretty straightforward process. 55:44: We usually encourage, you know have a tablet or a laptop set up at your check-in, check out area 55:48: and and the team member with the right permissions and and you're good to go 55:52: there.
