Once registration opens up for the season, participants will be able to register for sessions themselves and purchase any subsequent add-ons and protection plans, use eligible coupons, and make donations.
Note: We recommend encouraging participants to set up their account and create a participant profile in advance before registration opens. This would ensure a speedier process and give participants a better chance of successfully registering for their preferred session(s).
If some sessions become unavailable while attempting to register, participants can successfully secure any available sessions and be automatically waitlisted (if enabled) for unavailable sessions.
After confirming their payment at the final step of the registration process, participants will be shown a confirmation pop-up with an itemized list of sessions, which will include a variation of the following:
- Sessions they have successfully purchased
- Sessions that were unsuccessful or might have filled up during the registration process, along with the removal of add-ons, coupons, and protection plans for unavailable sessions, and the transfer of shared add-ons and coupons from unavailable sessions to available sessions, if applicable
- Sessions for which they were auto-registered for a waitlist when a session becomes full (if the session has the waitlist enabled)
While they will also receive an email confirmation for the successfully registered sessions, this confirmation pop-up gives an immediate session breakdown, and allows them to add new sessions or manage current ones all from one centralized location.

00:03: Well Hi. I'm Phil from the DocNetwork training team. In this video, 00:07: we're going to show you about the exciting new updates to the participant-facing 00:11: registration workflow. Our team has heard you and we've been working hard 00:15: behind the scenes to improve the experience for your families 00:20: when it comes to the registration process. I'll walk you through a few different 00:24: scenarios in this video, and highlight some of the enhancements along the way. 00:29: In this first scenario, we're going to show you what it looks like when all goes well and all 00:33: sessions are available to be purchased. As we go through all of these sessions, 00:37: you'll see that we register for multiple sessions all with limited availability, 00:42: but they are all still available. So that's great. 00:45: Let's go ahead and register. We'll apply 00:49: some coupons along the way. We get to the confirmation 00:53: page and can see the total that's due. If we have enabled 00:57: the payment plan at our organization, we can go ahead and utilize that here. 01:02: We'll set that up and you can see the confirmation for the sessions. 01:08: We have a new itemized sessions list post-purchase. 01:11: So while your families will still get an email confirmation for their upcoming sessions, 01:15: we now give an on screen pop-up of the session breakdowns. 01:19: This allows families to add new sessions or manage current ones all from one 01:23: convenient location. Finally we can let our friends and followers know 01:27: that we're registered with the social media options here. 01:31: In scenario 2 this will look a little different. 01:34: We're super excited about the updates that you'll see in this option here. 01:37: We now allow our users to be automatically added to a waitlist for any 01:41: session that becomes full and has a waitlist enabled. 01:44: This will allow for more Equitable experience as you wait in line for 01:48: spots to become available. This is particularly relevant to our organizations 01:52: that have a competitive registration process response fill up quickly. 01:58: One thing I want to highlight before we jump into far as the new text for Clear expectations 02:03: while this is always been the case for our registration Journey. 02:06: We now have updated text into locations that lets our participants 02:10: know that sessions are not guaranteed until purchase. 02:14: This means that if any session in the add-ons or coupons or protection 02:18: plans become unavailable before completing the purchase you will not be charged 02:22: for the now unavailable sessions. In our example here Johnny 02:27: Test is registering for Camp one session already has a waitlist 02:31: here. And some other sessions are nearly full but 02:35: not quite Johnny goes ahead and registers for multiple sessions. 02:40: He's going to continue on to the next page and start answering questions about add-ons and such. 02:45: However would John he's unaware of here what's happening simultaneously, 02:50: we have another participant trying to register Michael testings 02:54: Lee who's just a little bit ahead of Johnny in the process and is ready to purchase 02:59: weeks to four and five now if you recall All 03:03: week to only had one spot left Michael goes 03:07: ahead and confirms his payment and he's all set. 03:10: Michael is now registered for weeks to four and five much to Johnny's 03:14: unknowing disappointment. So back to Johnny Test Johnny, 03:19: I'll finish up his registration process. He'll even choose to add some protection plan options 03:24: for all weeks that he was registering for Now 03:29: on to the confirmation page where the total is five hundred and $26 with 03:33: $301 do now they click register and 03:38: look what happened. Johnny is registered for two sessions and automatically 03:42: waitlisted for two other sessions. 03:44: Now with the auto waitlist enabled Johnny is automatically added to the waitlist 03:48: and registered for the sessions that he still eligible for this improved 03:53: purchase experience helps participants out all around if some sessions 03:57: become unavailable. Attempting to register you can successfully secure 04:01: any available session and be automatically waitlisted assuming 04:05: that it's enabled for the now unavailable session. 04:09: Additionally as you'll see the amount automatically changed Johnny was 04:14: only charged $239 today rather than the $301 04:19: and his payment plan was updated accordingly as well. 04:23: Furthermore you'll be given a fancy new button to send you back to select new 04:27: sessions. If you'd like participants can go back and register for a different 04:31: or additional sessions if they prefer. And 04:36: finally our third and final scenario here what happens when 04:40: Johnny Test is trying to register for a session that does not have a waitlist 04:44: and is no longer available. As you watch Johnny attempt to 04:48: register for the one last spot in the winter session unknown to 04:52: Johnny his Nemesis. Michael testings Lee is registering 04:56: for and swiping this spot at the same time as 05:00: we see here. Michael got in grab that spot. 05:04: Thanks a lot, Michael. Meanwhile, Johnny is wrapping up 05:08: his registration process. He's going to pay a total of $237 05:13: clicks pay. But alas the registration was 05:17: not successful. However, no charges went through including 05:21: payment plan and donations Johnny can go back and choose a new session. 05:26: But ultimately he won't be charged for any of those sessions. 05:30: So there's a lot there but we're really excited about these enhancements 05:35: and think it'll make a great end-user experience for your families this upcoming 05:39: season as always thanks for watching this video. 05:43: And if you have any questions or any thoughts comments, feel free to reach out to your 05:47: team.

- All requested sessions filled up before the final step of the registration setup. As a result, there are no successful registrations. *Participants are not charged for any sessions or subsequent add-ons, coupons, or protection plans.
- The waitlist is enabled, and the participant was automatically added to the waitlist for the respective sessions. This is indicated under the Waitlisted section.
- Participants can click the NEW REGISTRATION button to be taken back to the Select Sessions page and attempt to register for sessions with additional space
