We love doing these we host these once a month and 02:15: it's a chance for us to show you a little bit about all the really cool features that 02:19: you can find in campdoc and schooldoc. So we offer a three thousand 02:23: foot view of the primary features just to give you a little taste and teaser 02:28: of what you can find in our platform. I like that. 02:32: Taste and teaser. Yeah. It's open exactly. 02:35: Yeah. Yeah. Yeah in just a moment here. 02:39: We're going to look at our learning objectives and our agenda and then dive In. 02:43: First I just want to help to reiterate the 02:48: why behind what we're doing. So as you know, anything 02:52: that worth doing takes time, there's always a learning curve involved, of course and 02:56: every one of you here has an opportunity to serve the youth and families in some 03:00: manner right at your organization and everyone signing in today here for this 03:05: webinar has their unique organizational, you know, purpose and Mission whatnot. 03:09: So what we're here to do CampDoc and SchoolDoc is to make your jobs 03:13: easier. Your lives easier. Help make your experience more positive and smoother 03:18: for the families that you serve. So this is our day job. 03:21: So let us help you. We are here for you and we love doing it. Just 03:26: a few little housecleaning things before we get started. For 03:31: Zoom today, we'll be using a few of the features here down below. 03:36: We'll be using our Q&A. So feel free to put in your questions. 03:40: Well, either answer them live or we'll have folks behind the scenes answering 03:44: them for you. Whatever we don't get to, you can always email your Client Success 03:48: Manager at the end, but we will try our very best to reach all of them. A 04:07: few little things here. A quick definition, so it's not common 04:11: knowledge all the time. So just want to put it out there too. 04:13: We'll be using the words DocNetwork, CampDoc, and SchoolDoc interchangeably. 04:19: So don't be alarmed, if you just hear us say CampDoc a lot. It 04:23: could, you know relate to both SchoolDoc and CampDoc. And lastly 04:27: sometimes we're lazy and we just say app. CampDoc app - that 04:31: just refers to our application or software. I don't think that necessarily 04:35: makes us lazy. Is that is that. Fair. Maybe smart? No. 04:39: Yes. It was smart application. 04:42: Okay depends who you ask. Yeah, probably lazy. 04:46: Exactly so we'll be using that. Wonderful. 04:51: So what I'll do next I'll just share the agenda real quick here. 04:56: Let me share my screen one more time. 04:59: Awesome. 05:02: So we'll do the learning objectives we'll do next. We're going to cover the list builder 05:06: and reports, individual profile, Health log, eMAR, 05:10: our financial ledgers, registration setup, customization, 05:15: provider profile setup, and finally, we'll share some training resources 05:19: for follow-up. And like I said, we'll be just touching on these 05:23: each of these features. We won't go too deep into them, but we'll be sharing resources 05:28: throughout so you can dive deeper into the features that are more relevant for you. 05:33: Alright, our learning objectives. So today you'll be able to summarize 05:38: the capabilities and functionalities of the docnetwork app - medical 05:42: and non-medical features. Identify and locate the main features 05:46: in the app itself. Select and use app features that meet 05:50: specific organizational priorities and list and Define 05:54: the functionalities within an individual participants profile. 05:59: Sound good. Yeah, I'd say it sounds great. 06:02: Sounds great. Whoever came up with those objectives. Brilliant. Well, 06:06: I think that was me maybe yeah. 06:08: Okay. Let's go with that. Toot my own horn, but I wanted to take credit was probably you so 06:13: well, man. Yeah probably well, maybe we'll see Okay, 06:18: cool. So before we get I think we're ready. 06:21: Oh did I jump the gun. Yeah. I jumped the gun a little. We have a poll here. 06:25: Just out of curiosity. What is everyone's 06:29: experience with CampDoc and SchoolDoc? Are 06:33: you brand new? Are you new to the app or your org is not if 06:38: you use the app before but would just like a little refresher. We can 06:42: all use a refresher. You know, this is good right now. 06:45: We're already about well each one's about a third. 06:47: So that's pretty good. 06:50: Nice. Okay, awesome. Wonderful. 06:52: Good to know. Here - share results here. 06:55: Great, okay. Oh good, but I think regardless 06:59: of whether you know you're brand new or you want a refresher this will hopefully be helpful 07:04: for you. So thank you for joining us. For sure. 07:07: We usually like to to remind people to like don't put pressure on yourself to memorize 07:12: this whole thing. Find a few nuggets. 07:14: Maybe there's some things you're really curious about and zero in. I already had 07:19: somebody I don't know if you all saw it. I can never remember what you all can see and what only 07:23: I can see but Laura Smith said I want to learn how to download campers info in an excel spreadsheet. 07:27: Laura came here. Hey, this is what I'm looking for. 07:30: We should get to that later. Feel free to call me out and name call me if I skip over 07:34: it. But also, you know look for those things that you're trying to pull. 07:40: Like Gabi said, we're giving that 3,000-foot overview today. 07:43: So we're not going to get into the details, but we'll kind of show you where to find 07:47: things. So now I think we're ready to go right Gabs. 07:51: Yes and one more thing. Question by Mark. 07:54: Yes, this will be recorded so we'll be able to share 07:58: this and you can share it with your staff as well. We'll send that as a follow-up email 08:03: For sure. Now, did I? All right you can see. Yeah, we can all see. You are sharing 08:07: your screen. I see it. 08:09: I have a split second of like, oh, no am I sharing the wrong screen? So not 08:13: that it's I mean, then you're all just seeing my script really. 08:16: That's all so. Well cool. 08:18: Well, here's the other thing I encourage you all to do if you're not 08:22: already is to follow along in your app follow along. Log in. 08:26: I understand some of you may only have one screen. 08:30: So if that's the case if it's easier for you to just watch that's fine too. 08:33: But sometimes it's nice to point and click away. The other 08:38: two caveats, I want to throw your way is keep in mind, 08:40: this is a demo camp, so we're going to be showing you all fictitious data. 08:45: These are not real participants. So we don't have to worry about privacy issues there. 08:49: Additionally, because it is a demo camp you're going to see all of our features 08:54: enabled and we have top provider permissions on 08:57: this so you may not see some of these features in your CampDoc 09:01: or SchoolDoc app. And that's only because either that features not enabled 09:06: for you or maybe your primary provider didn't give you those permissions. 09:10: So you can either thumb wrestle them to ask them for those permissions or 09:15: you know, I'll I don't know I'll let you figure out how 09:19: you're going to go about that on your end. But oftentimes health providers don't 09:23: need registration access and vice versa that sort of thing. 09:27: Alright, but we'll start here. 09:31: This is our provider landing page our provider portal. 09:34: So when you log in you most likely see a page that looks like this 09:38: and so the default we call this our list builder 09:42: and the default list builder is registration type is 09:46: participant and profile status isn't past. What 09:50: that means, that is a little bit of a confusing way to say, 09:53: these are all of your participants who are current and upcoming. 09:58: So if they have a registration for a program in December 10:02: or in February, they're going to be here. If they only had a registration 10:06: for August, they're not going to be here. 10:09: If you ever want to see all your participants, historically 10:14: you're going to clear out these filters and you'll see we just went from 1400 profiles 10:18: to 1600 profiles. 10:21: If I want to bring back my default, I just hit restore defaults and it's going to 10:26: come there. If there's a list that you use a lot, 10:29: maybe there's a filter, and you primarily work with a certain 10:33: program. Let's say you only ever work with, I 10:39: don't know just the school year. Oh, I just chose a group that doesn't exist or no 10:43: participants. If there's a particular group you can use group 10:47: select, and then choose that group and then save that list and that can become 10:51: one of your lists up here. You can create that as your default list. 10:55: So know that that's something that you can do the 11:01: one of the things I also like to point out. Oftentimes 11:03: we have providers say to us, by the way, another definition 11:08: providers are any staff who have back-end access in the system. Participants 11:12: are anyone over here whose names they've created forms. They created 11:16: a profile so participants and and you are a provider. 11:21: But oftentimes people say I can't find this participant. I would encourage you to check your 11:25: filters because maybe they were a participant last 11:29: week and now they dropped off and now you get rid of past and suddenly they show up. 11:34: Additionally, sometimes you have the wrong list up here. 11:37: So typically you want to be looking at your default list being participants, 11:41: current, and then your defaults down here. 11:45: Now the list builder here, this serves as our filter, right? So essentially 11:49: this is our funnel for anything that we're trying to pull 11:53: up. This is built off of the forms that you had us create. 11:56: This is built off of the profiles. 11:58: So yours is going to be a little bit unique a little bit different than another 12:03: organizations. A lot of them are going to be similar. 12:05: So maybe I wanted to do age and I want to say I want to find any 12:09: one less than nine years old. 12:13: There's only five apparently, this is an older age Camp. 12:16: So we'll say 11 still. Okay, we've got a lot of older. 12:19: This is a much older camp. That's what I'm discovering here or our demo camp, 12:23: we just need to add some younger participants here. 12:25: So you can look for a certain age. 12:28: And let's say we just want to look for anyone under 12. Again another one 12:33: I mentioned earlier that's popular is group select. Group 12:37: select is any of your sessions. Okay. 12:40: So many of you know, depending on your role if you helped set this up 12:44: your top level might be camper if you want to look at all campers. 12:47: It's going to be be this this top level. 12:50: This is going to give you a high number. But if you want to get very specific 12:54: and you say I just want to see Camp maple syrup session 3 for 2024, 13:00: then you can choose that one. And so this filters that down. Now I want to say 13:04: age. I can do date of birth. I can do age. 13:09: or will say greater than greater than 9 that's all 13:13: of them. Again. We have an older camp here. They're all older. 13:16: I'm really just curious Gabi. 13:18: I just want to see how old are all these 13:20: participants. Is this? Okay. 13:23: They're old. This is like college. I think is what we have here. 13:26: So, oh, yeah, I think so. Absolutely. 13:28: So anyway you can see that filters down. Now 13:32: the thing I want to show you about this is list builder impacts 13:37: all these other tabs up here. Okay. 13:40: So our reports, download, send message, power tools. If I want 13:44: to send a message right now, 13:46: I'm going to send it to all 38 of these profiles and you can see down here, 13:50: that number pulls over. Now you can always, no matter the 13:55: 38 profiles, if I want I can select all 13:59: but you know what? I don't need Rayford Butts in there, which is a fantastic 14:04: name by the way. Rayford Butts. No comments. 14:07: I'll just pretend like I'm not a ten-year-old who finds it funny. 14:09: So we'll keep moving along. 14:12: So then now I'm running this report for these 35 14:16: selected out of 38. Again, the same is true for send a message. 14:20: I would only be sending that to 35 out of 38 participants. 14:25: So alright. Let me talk about reports 14:29: Actually right now, let's go ahead and pull a report now Again.. Good segue. 14:33: Oh you like that? You like that? In this case, we're only 14:37: pulling a report for these thirty eight participants. 14:40: Again, that's what we filter for. We have 3 different types of reports. 14:44: The two I really like to focus on are standard and custom. Standard 14:49: reports. These are reports that we we know a lot of our organizations 14:53: are running. So we just pre-built them into the system for you. 14:56: So you want to see bounced emails. Whose e-mail isn't isn't actually 15:00: getting to them? I can run a report for that. 15:02: I want to run a Check in report. Just a hard copy check-in 15:07: report. I can do that. If you utilize photo rosters. Duplicates. 15:11: Maybe you might see to Kristyn Clark's in there. 15:15: We need to clean up our system. So there's a lot of options allergy reports. 15:19: So I would encourage you to look through those standard reports and see quite 15:23: the variety that's available to you because I suspect that 15:27: there's a lot of reports even that are just auto-created that you 15:31: didn't even realize are there. Depending on the report 15:35: type, you have the option of running that as a CSV or PDF. CSV 15:41: just another Excel format and it depends why you 15:45: want to run that. If you're just looking for a nice you're running a food allergy report and you want 15:49: a nice PDF copy. Obviously that's what you're going to run to give to the dining 15:53: hall staff. If you want something with medications 15:58: and you want to sort data you're going to pull that as a CSV. 16:01: So now a custom report. 16:05: This is as it sounds. This is any report that you're looking to customize. 16:09: Let's say every week you run a day camp, 16:13: and every week on Thursdays you go on a field 16:18: trip to the water park, right? So you're going to want to run a report so you can get it in the 16:22: hands of your staff, and you're saying I don't need all their information. 16:25: We better get their address, you know, city, that information. 16:29: You know, what we better take allergy information. Let's select all. We 16:34: want to make sure we have insurance information. 16:37: I can select all and then I can say, 16:42: whatever else - authorization - sure. 16:44: Let's take their authorization. 16:46: So now I'm running a report with just that information I can choose 16:50: if I want that as a PDF or CSV. I want to give a copy of this 16:54: staff PDF is cleaner and then you can choose three different types of reports. 16:59: You can choose individual, combined, or condensed. 17:04: The individual report is going to run 38 unique PDF. 17:08: So that's going to give you a zip file full of 38 17:13: unique PDFs. Typically most organizations aren't looking for that. 17:18: Maybe there's some cases you might want that. 17:21: Combined report is an all in one PDF. 17:24: There's just a page break between each one of those profiles and 17:29: then a condensed report is all in one PDF just no page 17:33: break between each individual. Alright. 17:35: So we're going to run this as a combined report. 17:38: I'll hit create and, you can name it. We'll come up with a clever name 17:42: like custom combined report. Just made that up off the top of my head Gabi. Super 17:46: original. Like that? 17:50: So then then you go over to your 17:54: download section and that report was ready pretty quick. 17:58: Usually these reports turn around in just a matter of moments. 18:01: If you're pulling a lot of data, or if you're pulling photos, 18:05: if you're pulling images it might take; sometimes it could take up to like 18:09: five to ten minutes. Usually it's pretty quick. Before 18:13: I move on to the downloads, I will show you too, there are advanced options here. 18:17: I'm not going to dive into all of these but you can include 18:20: images. If you want expired answer. So make sure, sometimes the information 18:24: you're looking for, you'll need to include advanced options as well. 18:28: So you can see then, I just simply go in here and download and 18:32: I can see that report. Gabi, 18:34: does that share across my sharing tab too? Yep. 18:39: I'm seeing the the PDF. Yep. Cool. 18:41: So you can see this is what the report would look like if there were photos here and do that. 18:45: And then I hand that to my camp staff, 18:47: whose taking the kids to the water park and there you go. The beauty here. 18:51: Oh go ahead. Oh, no, I was just gonna say I know that's a lot of steps. 18:55: So I shared some of the resources there in the chat, 18:58: and we'll email them to you too, and they go step-by-step instructions in either 19:02: the videos or the articles. So you can reference those as you do your own report 19:06: as well. Absolutely. Yeah these resources and by the way, we'll send you 19:11: pardon me, we'll send a follow-up resource, if not tomorrow then 19:16: it may show up on Monday. But you'll get a follow-up resource in the next several days 19:20: with all of these resources for you as well. 19:23: So again, you don't have to memorize everything. The one 19:27: last thing I want to show you on this. This and then we'll pause and move to our next section here, 19:31: is if this is a report I mentioned it's a water park trip that we're running every week. 19:36: You don't need to build that same report, week in and week out. You can 19:40: save it as a template, and then you can come up here and just load that 19:44: template. So again, maybe there's a kitchen report, pre-trip 19:48: print out that sort of thing. You can just run that report and it will adjust 19:52: based on whatever group of kids I filtered for. So I can change 19:56: it and I'll get the same information, just with a different batch of 20:00: participants that I have filtered for. 20:02: So that's list builder and reports. 20:06: Again, the other things I'm not going to necessarily touch base on fully, but I do like 20:10: to point out, people sometimes people just don't realize it. I can send messages 20:15: through everyone here. So if I wanted to filter for everyone with allergies, epipens, 20:19: I could do that and then send one quick email to everyone and say don't forget your 20:23: EpiPen or and again you can do template or yeah 20:27: you can do templates, if you're doing the same thing again, and again. And 20:31: you can send them to your providers too. If you want to send to your staff 20:35: or something like that. You can do that as well with the send message. 20:39: Absolutely 100% So yeah, so that's a list builder/reports 20:43: The last thing I'll say before I toss it back to you Gabi, and this is true for everything 20:48: we're showing you today. I just never want to forget to say, this handy 20:52: dandy question mark in the top right corner. You're going to get off this webinar and 20:56: then you're going to start playing with reports and 'The guy talks so fast, 21:00: he stutters half his way. He says, you know, I can't keep track of everything.' 21:05: This question takes you to the support page that's relevant to the page you're on. 21:09: So if you want to find out more about list builder, you can click on that question icon 21:14: and it's going to take you to the relevant support pages. 21:16: So alright. Yeah, so as Phil said, There are so many different conditions that you can use 21:31: and we're curious too, I put this little question in the chat here 21:35: as well. What's a condition that maybe you weren't aware of 21:40: or something that you think could be really helpful for your organization. Put it 21:44: in the chat. Let's see what people have to say. Phil went through some 21:48: of the more popular ones, you know, like the group select. 21:52: That's probably what number one I would say. 21:55: Yeah, I think so. Yeah. Yeah also medications. 21:58: I've heard a lot of our client success managers say medications are a popular 22:02: one. Yeah. We're curious to see what what you 22:06: think? What could be useful for yours or ones that surprised 22:10: you didn't know we had. 22:13: Yeah, I think a lot of times you start scrolling through. 22:16: Yeah, the definitely a surprise there when you 22:20: start seeing some of those things. So yeah one that I 22:24: discovered a few months ago was tags. 22:26: I didn't know you could filter for tags. 22:28: Yes, absolutely. We'll touch base on tags in a little bit too. 22:32: But yes, yeah knowing that you can filter for tags is huge. 22:36: Mhm. Awesome cool look, so we have some responses sign sign in 22:40: and out function. Mmm sending custom emails to filtered list campers, 22:44: grade levels. Absolutely. Yeah, all good ones. 22:48: Yeah. These are all really helpful. Absolutely. We appreciate you sharing 22:52: too, because not only is it helpful for us to know, it just makes us feel good about 22:57: ourselves. But it's really helpful, when someone else says, you know Laura 23:01: writes campers, grade levels, and then Carrie looks at it and goes, 23:04: 'Oh, wait, where do I find grade levels? Oh, there it is.' 23:06: So sure. And sometimes you just got to you know, look and 23:10: maybe browse. There's a big drop-down menu and kind of see what options are available. 23:13: So that's part of the fun too. Kind of explore. 23:15: Alright Phil, before we get behind schedule, 23:19: I was gonna say next one. I know it's hard to believe that I'm already I've 23:23: already gotten behind schedule. I mean, it's not that hard to believe. 23:27: Yeah. It's probably not at all. So let's take a look at an individual 23:32: profile. So again, we were looking at things as a list builder where you can get the total 23:36: view of a whole bunch of people, but let's look at an individual profile. 23:40: I always like to look at John Adams because he's clearly presidential 23:44: based on that picture alone. Now, you may see 23:48: a few extra tabs based on, if you use us 23:52: for registration or not, so I will put that disclaimer if you're like, I don't see account on 23:56: here. You won't have that if you use something else for registration. 24:00: Okay, but the first thing here is registrations. 24:04: We can see anything upcoming as well as historical, so I can see what 24:08: sessions we he was pulled from, what sessions 24:11: he came to, and you can add registrations 24:15: as well. If you have a waiting list, this is where you could promote 24:20: someone from that page. Gabi mentioned tags, and 24:24: we'll circle back to this here in just a minute. 24:28: Because there's a few things I want to hit on tags. Again, account, 24:33: I can see his financial information. I can add line items. 24:36: If I'm, again, if I'm using us for registration, I can come 24:41: in here and show all. I could add a line item. 24:46: I could process a refund if I wanted to if they had it saved a card 24:50: on file. It's there's an external payment Grandma came and dropped some cash off. 24:54: I could I could do that. I can see what users are 24:58: one of the cool things too is you can have multiple users in the account. 25:01: So especially in like a blended family situation or you know, 25:06: parents are divorced or whatever the case may be. You can give different user access so they can 25:10: add information in but like maybe a credit card maybe Dad 25:14: is making a payment and Grandma is also 25:18: making a payment, but they don't have to share that credit card information. 25:23: You can add a user as well as the parent 25:27: that the user can also do that as well. Notifications. 25:31: Friends, I'm just saying this part might be a little bit of a game-changer for some of you. 25:35: Some of you didn't know this is in here. So pause what you're doing some of you are 25:39: distracted you're looking at something else. You're finishing your Wordle. Take a look 25:43: at this, because this... I don't know if anyone plays, I still play Wordle occasionally. 25:48: So right here, these are all the notifications that 25:52: are sent from CampDoc or SchoolDoc. 25:54: These are the automatic emails that the system generates. 25:58: Maybe you have yours set up for once every 30 days. 26:01: It's kicking an email to families. 26:04: Maybe you sent some custom emails. You sent some of those bring your EpiPen emails, 26:08: right? This shows you what messages have been sent to them and the green 26:12: check tells you that they have seen that and a white dot says it's not been seen. And better 26:17: yet, when you click on it, you can get in here and say this was sent on 26:21: July 13th at 4:34 and someone was up really late the next 26:25: morning and saw it at 7/14 at 2:16 a.m. 26:29: So this this is great when someone's like I never got that and you're like 26:34: well actually and you can also 26:38: come back in and just resend it too. If you're like 'oh no worries' and you don't want to be all dramatic 26:42: you like I'll resend it and you can resend it right from there. 26:46: Health profile this is where you can see all the forms that 26:50: the participant has filled out. 26:53: These are the forms that we built based on your request. 26:57: So these are unique to you a green check tells us this section is complete 27:01: and red dot tells us something is missing. I can get in here and say okay, they haven't 27:05: answered these questions yet. So that's helpful to know what we're waiting on. 27:10: I didn't mention earlier but that percentage there shows me how complete that profile 27:14: is. If you have the right provider access you can get in here 27:18: and edit. Maybe you have some families who filled out some paper information, or maybe it's 27:22: your kid. You could get in here and edit that information 27:27: as well. Again, assuming you have the right permissions. 27:31: You can see in medications, health log, we're going to touch base on those in a little bit. 27:35: So I'm not going to spend too much time and CampGrams if you use that. 27:39: The other thing I want to show you is tags and reviews and 27:44: notes. Gabi's probably going to share some links. 27:47: I don't have the chat open, but I'm sure she's going to share some links here for those because 27:52: I think tags review and notes are often our most underutilized but 27:56: most valuable tools. Tags. Think about tags 28:01: as any groups within groups. The examples 28:03: I always give that are kind of your generic summer camp are, you know cabin, 28:08: bus assignments, color groups, that sort of thing. 28:12: So it's maybe not something you have in your forms, but you want to say 28:16: all 10 year olds are in the oak cabin, right? And 28:20: so you can put all ten-year-olds in the oak cabin as 28:24: Gabi said you can filter by tags later. 28:27: So now you want to say I want to I want to see anybody with food allergies 28:31: in the oak cabin. I know that they're all ten-year-olds. So you can create those 28:35: on your own. Our team can help you with that, but tags are 28:39: huge. He's like, 'this is so not safe.' 34:27: So the backbone of CampDoc/SchoolDoc is the 34:31: health side of it. Michael's still a practicing physician, but 34:37: this is where we were really birthed out of, and I love telling that story. 34:40: So the health log - 34:43: this is, you know, some people refer to this as their incident reports - 34:48: and you know what, I bet I don't have a provider account - 34:51: yeah, so we're going to be able to show you some aspects of this. 34:54: So the first thing that we saw was 'View,' and this is where we can see everything 34:58: here that's been added and we can see, 35:03: you know, Phillip mentioned that Ken had sting bee 35:08: sting. And I can click on this and I can see more details here. 35:12: Anything in red tells me that this is still in draft mode. 35:16: So it's not complete. So if I start typing it in and wrist, you know, yeah, 36:22: we're not exactly sure yet right now is pain in the wrist. 36:25: You can customize the locations which is super helpful. 36:29: I'll show you statistics in a minute, but you can say it happened on the 36:33: softball field. And then for our medical providers on today, you'll notice that 36:37: this is in SOAP-note format. For us non-medical providers, 36:41: that just simply means Subjective, Objective, Assessment, 36:46: and Plan, and so I can go ahead and fill out all this information 36:50: here. If I need to upload a file I can do that. If I want to add something 36:54: here, I can just add blood pressure in. I can add any of these elements here. 36:58: If you want - again, because I'm not a provider won't let me click 37:02: on this - I can choose to notify the family or not. 37:05: Some of you have policies for or against that. 37:09: So but if you want - now keep in mind that once you hit 'notify' and then 37:13: 'submit,' they get notified right away. Some organizations say, 'no, 37:17: it's a scratch, we don't need to notify them for every scratch.' Some organizations 37:21: say, 'we do,' so whatever, you have that option. 37:24: The other thing here is similar to other things that I showed you earlier is you can save 37:28: this as a template. So let's say there's some popular ones and - 37:32: sorry, they're not loading because I'm not an oper, er, not a provider in here - 37:37: popular ones are Lice Check. Everybody loves the first day of camp 37:42: and you got to run your hands through kids hair. Cold 37:46: and flu. Cold and flu, 37:48: yep, big one. Absolutely. Concussion Protocol. Gabi, 37:53: not everyone may have heard of it, but there's this thing here called Covid 37:57: and yeah, so if you haven't heard of it, Covid-19 38:02: went around big a couple of years back. And so maybe you have a template protocol 38:06: that you need people to fill out if you suspect that 38:10: they may have Covid. So yeah, so that's the 38:14: health log again. 38:16: You can download blank templates if you're going to be in an area where 38:20: no internet's available, that sort of thing. The 38:25: other thing I just like to show here, just as I look to see how 38:30: dramatically behind time we are, is the statistics section. And 38:35: you can take a look and - this is huge - 38:39: where you can get in and run a particular date and 38:43: see how are our kids doing, how many visits per day, what are common 38:48: complaints that we're running into, who are our top providers. 38:52: The reason I recommend adding in your locations - as you can see, we 38:56: have problematic areas on our property. 38:59: Do we have areas that we need to address? So we have a lot of ankle issues happening 39:03: on the basketball courts - are kids playing basketball barefoot? You know, or you 39:08: know, that sort of thing. So anyway, a lot you can do there in the 39:12: help log with statistics. And finally the last 39:16: thing I'm going to show you as far as health stuff is the eMAR, this is Electronic 39:20: Medication Administration Record. And this is your medication 39:25: to-do list. When you get to the eMAR, it's going to automatically filter for 39:29: the day and time that you're at right now. If you want to see all times you can see these 39:33: here and I can just Mark given as Needed. If 39:37: I got too click-happy and then realize I clicked James Bateman 39:42: and I meant to click James Brooke - Brooks - 39:44: I have to come in here and say Error and say, 'wrong 39:48: kid notated.' 39:51: Maybe I gave the medicine to the wrong kid - that's a whole other conversation. 39:55: And then it was James Brooks who actually got it. 39:58: Now you can see there's an audit trail, so you can't just delete something 40:02: here in the eMAR as well. Again, going back to the filters. 40:06: You can tag if you're utilizing tags as we mentioned. 40:09: You want - your medical staff is going to sort by cabins. 40:13: Now, I'm only dealing, you know, maybe the cabin comes to get their medications and I 40:18: I can just filter and now it's only those particular kids 40:22: who show up. 40:24: So of course, I'm choosing options where there's no one there, but you get the idea. 40:28: So yeah, so there you go. 40:31: Let's - kind of a quick version through the eMAR. Again, Gabi's 40:35: got resources for you there as well. 40:39: But let's keep moving here. 40:42: Yep, I just shared a link to all of our videos that are related to our medical features - 40:47: eMAR and health log. And they go - they're brief videos that go through each feature step-by-step. 40:52: So definitely check those out. Gabi mentioned Cold and Flu and Covid and 41:37: Concussion, that sort of thing. Just throw in the chat 41:40: if you would, a few different health log templates that are 41:44: common things for you and your team or maybe questions you want to make sure to always 41:48: ask so but I'll keep us moving while you 41:52: all go ahead and fill that out. So the 41:57: finances section - for those of you who just use us for the 42:03: or forms or the electronic health record, 42:08: You do registration elsewhere. 42:10: Maybe you have a different, you know, registration platform that your organization 42:14: at a higher level requires you to use. 42:17: So if that's the case this next little section won't apply to 42:21: you, but maybe you'll get a glimpse as to what you could you know, what 42:25: could be down the road for you if you're like, 'hey, we want to have it all under one roof,' 42:30: we have the ledgers. This is all things money. 42:33: If you're a registration person, this is where you're going to see the 42:37: financial side of things. And now when it comes to finances, we have two different 42:41: types of ledgers. We have the participant ledger and the organization 42:45: ledger. The way I like to remind people is the participant 42:49: ledger - this is all finances going back and forth from the participant to your 42:53: organization. So I assign my son up for your Camping camp, 42:57: cost $100 and I pay that camp - 43:00: I pay your Camp $100. So that's where you see the participant ledger. 43:04: The organization ledger is money back and forth from 43:08: CampDoc or SchoolDoc and your organization. 43:11: So the parent paid $100, it actually went to our 43:15: platform and now we're pushing the money to you. 43:17: So that's where you find the money and you want to see where payouts go through you 43:21: want to see how much is in your account or how 43:25: much is processed or how much processing fees were, that's where you'll find that. 43:30: In the participant ledger, one thing I always like to highlight is these three boxes 43:34: up top can be a little deceiving if you've been with us for more than one year. 43:39: You've been with us for more than one year. It's important to know these are historic. 43:43: So you might sit there going, 'we did not process eight hundred and sixty-three thousand 43:48: dollars this year.' That's right, over the course of many years, you did. 43:53: So line items again, you can use this as a filter here. 43:57: You can sort by dates. You can select different line 44:01: item types, you know, if you want to see all refunds, you can 44:05: sort that. If you want to see particular groups, you can do that whether 44:09: I want to include deactivated registrations or not as well, then, 44:15: you know, just simply hit search and now I'm going to see - well, believe it or not, 44:19: we didn't issue any refunds in our fictitious Camp. 44:21: Apparently, we're not giving fake money back to fake people. 44:25: So we'll real money back. So yeah. 44:28: Yeah, so maybe next time, Gabi, we'll give those refunds 44:32: next time. The other tab here is Balances. 44:35: This is where I can see everyone. We can see our favorite campers who paid in full already, we 44:39: can see our least favorite campers who still have an outstanding balance, and 44:44: we can see our least least favorite campers who we have 44:48: to give money to so we won't tell any of them that they're favorites 44:52: our least favorites. Gabi, you're looking at me in judgment, I think, so. 44:56: Yeah, just because they need a refund, they're least least?! 44:59: I hold a lot of judgment. I hold a lot. 45:03: There's no favorites. They're like our children. 45:05: Okay. It's just money. That's all, no, no favorites. 45:08: I take it all back. So alright, so 45:12: you can also export all of this data as well if you want to export 45:16: it into CSV or you know some other 45:20: financial software you can 45:25: do that as well. It's suddenly dawning on me - 45:28: this is side note - that I think it was Laura asked to make sure 45:32: to show how to download groups rosters. 45:35: I'm get there, Laura, it just came back to me. Gabi, 45:38: don't let me forget. I won't. Organization 45:42: Ledger. This is, again, money from 45:47: CampDoc to your organization. Similar 45:51: idea, you can see, you can filter accordingly from registration 45:55: type. You can see the payouts. Again, 45:59: if this wasn't a fictitious camp ,you would see how much was needed 46:04: to be pushed over to you. Just so you know, we push the finances 46:08: automatically every five hundred dollars ($500.00) or at the end of the business day. 46:11: So let's say you open camp up on January 1 and you have ten thousand dollars ($10,000) in your account. 46:16: At the end of the day, we'll push that and you know, the way banks work, I think right now we're saying like 46:20: 4 to 6 business days, something like that, that it actually arrives in your account. 46:24: And then you can see all the payouts will show up down here 46:29: as well. So again, I know there's 46:33: all sorts of resources we have on those. 46:35: We've just barely scratched the surface on the ledgers. 46:39: The other thing is Groups. Some of this shows up if you use this for registration, 46:44: and some of this does not show up. But you will be able to see is your register - your 46:48: Roster and Registration. We just did a big webinar on this. 46:53: Gabi could probably share that link here in a minute. My friend Jesse and myself 46:57: went through this and gave really in depth on this. 47:01: So for the lores of the world who want to see some more, that webinar 47:05: is going to be really helpful. And so maybe for you, you need to put time on your calendar 56:26: for Friday afternoon to spend, you know, half an hour 56:31: Just reading up on the eMAR, or, you know, 56:34: next week you need to spend time learning reports. 56:38: And then the other thing is just don't hesitate to ask questions. 56:41: We have a ton of resources for you, but your team and our support team are 56:46: available for you. So like try to figure it out, you know, for 5-10 minutes, 56:50: but then don't kill yourself. Like, you know, if you're taking too 56:54: much time reach out and ask for help.
